Community Association Assistant

Access Management Group (AMG)
Full-Time | Administrative, Customer Support

Salary: $42,000 - $48,000 annually (commensurate with experience)

The Opportunity

Access Management Group is seeking a highly organized, customer-focused Community Association Assistant to support our Community Association Managers and the communities we serve.

This role is ideal for a professional who enjoys helping others, managing multiple responsibilities, and delivering exceptional customer service. The Community Association Assistant serves as a key point of contact for homeowners, board members, vendors, and internal team members, helping ensure smooth day-to-day operations for a portfolio of communities.

The successful candidate will be proactive, detail-oriented, technically proficient, and committed to providing an outstanding customer experience while supporting AMG's mission of service excellence.

Key Responsibilities

Provide exceptional customer service to homeowners by responding to phone calls, emails, and inquiries regarding:
Account payments and balances
Homeowner portal login assistance
Amenity access and access credentials
Clubhouse reservations
Manage access control devices
Answer written and verbal general community questions and concerns
Support Community Association Managers by gathering information, resolving routine homeowner requests, and facilitating positive client relationships.
Coordinate and distribute community mailings and communications.
Manage clubhouse reservations, amenity access, and the distribution and tracking of keys, access cards, fobs, and related property assets.
Troubleshoot and report issues involving access control and security systems.
Distribute community e-blasts and communications as directed by Community Association Managers.
Assist with the daily operations of the office to ensure efficiency and effectiveness.
Coordinate with vendors and service providers as needed.
Troubleshoot and report office equipment issues.
Maintain accurate records and documentation.
Perform additional administrative and operational duties as assigned.

Qualifications & Skills

Required Qualifications

Minimum of 3 years of customer service experience, preferably in community association management, property management, banking, hospitality, or a related service-focused industry.
Strong customer-service mindset with a commitment to professionalism and responsiveness.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
Strong organizational, time-management, and multitasking skills.
Ability to work effectively in a fast-paced environment and manage competing priorities.
High level of accuracy, attention to detail, and dependability.
Strong problem-solving and critical-thinking abilities.
High school diploma or equivalent.

Preferred Qualifications

5+ years of customer service experience, preferably within association management, property management, banking, hospitality, or a similar industry.
Previous experience supporting community association managers, property managers, or homeowner associations.
Experience with homeowner association management software or customer relationship management systems.

Physical Requirements

This position is primarily sedentary but may require occasional physical activity, including:

Lifting and carrying files or office materials.
Opening filing cabinets and retrieving documents.
Standing, walking, bending, or reaching as necessary.
Frequent use of hands and fingers for typing and handling office equipment.
Regular communication via phone and in-person interactions.
