Full Job Description

Location: Hadley, MA
Schedule: Full-time, onsite Monday–Friday, 8:00 a.m.–4:00 p.m.

Our client is New England’s collaborative sourcing leader with a membership of nearly 2000 higher education, K-12 public & private schools and municipalities. They provide multi-vendor contracts that are the best in the industry in terms of cost avoidance, product and service depth, vendor quality, choice and terms; and by being an active catalyst for local and regional small business participation, including women and minority-owned companies.

They are seeking an Accounting & Office Administration Specialist to support key accounting, finance, HR, and office operations functions. This is a hands-on role for someone who enjoys variety, takes pride in accuracy, and is comfortable supporting both financial processes and day-to-day administrative needs in a collaborative office environment.

The position will be responsible for accounts payable, accounts receivable, bank deposits and reconciliations, expense reimbursements, general ledger data entry, financial reporting support, and preparation for audits and Board reporting. The role will also assist with HR administration, employee file maintenance, onboarding support, office coordination, and general office operations.

Key Responsibilities

Process accounts payable, including vendor invoices, expense reports, credit card statements, approvals, coding, and payments
Support accounts receivable, including payment tracking, aging reports, follow-up on overdue accounts, payment posting, and reconciliation
Perform bank deposits, monthly bank reconciliations, cash flow monitoring, and discrepancy resolution
Enter and maintain general ledger data, journal entries, month-end schedules, P&L reports, Board reports, and ad hoc financial reports
Support budgeting, year-end close, financial audits, and required monthly, quarterly, and year-end filings
Assist with HR administration, including onboarding, background checks, leaves of absence, open enrollment, and employee file maintenance
Support office operations, including supplies, equipment coordination, scheduling, visitors, correspondence, food orders, and company events

Qualifications

2–5 years of experience in accounting, bookkeeping, office administration, or a similar role
Hands-on experience with A/P, A/R, general ledger work, reconciliations, reporting, filings, and audit preparation
Payroll, PTO reconciliation, and quarterly/year-end tax filing experience preferred
Degree in Accounting, Finance, Business Administration, or a related field strongly preferred
Experience with QuickBooks preferred
Experience with HR/payroll systems such as ADP or Paylocity preferred
Strong Microsoft Office skills, including Outlook, Word, and intermediate to advanced Excel
Strong data entry skills with excellent attention to detail and accuracy
Ability to follow procedures and timelines while identifying opportunities to improve processes
Strong communication and interpersonal skills in a friendly, fast-paced office environment
