Full Job Description

Receptionist – SUD (Substance Use Disorder) Treatment Facility

Position Summary:

The Receptionist serves as the first point of contact for clients, families, visitors, and staff. This role is responsible for creating a welcoming professional, and trauma-informed environment while managing front desk operations, supporting administrative needs, and ensuring smooth day-to-day flow within the facility. The Receptionist must maintain strict confidentiality, demonstrate empathy, and communicate effectively in a behavioral health setting.

Key Responsibilities

· Greet clients and visitors in a warm, professional, and trauma-informed manner.

· Answer incoming calls, direct inquiries, and relay messages promptly.

· Monitor lobby traffic and maintain a calm, safe, clean waiting area.

Administrative Duties

· Manage incoming/outgoing mail, faxes, and emails

· Client record releases

· Inventory and managing all office supplies

· Managing deliveries, drop-offs etc;

Compliance & Safety

· Ensure front-desk operations follow HIPAA and all confidentiality standards.

· Maintain secure handling of client records and sensitive information.

· Follow facility policies regarding safety, visitor protocols, and emergency procedures.

· Report concerns, unusual behaviors, or safety issues to appropriate leadership.

Qualifications

· High school diploma or equivalent required; additional education in healthcare administration or behavioral health preferred.

· Experience working in healthcare, SUD, mental health, or social services environment strongly preferred.

· Strong communication and customer service skills.

· Ability to remain calm and professional in stressful or crisis situations.

· Proficiency in computers and general office equipment.

· Ability to maintain composure, boundaries, and confidentiality at all times.
