Front Office Assistant

Location: On-Site – Wilton, CT

Employment Type: Part-Time, Non-Exempt

Salary: $26.50 – $28.85 per hour, commensurate with experience

Round Rock Advisors, an independent wealth management firm in Fairfield County, is seeking a Front Office Assistant to support daily office operations and ensure a polished, professional client experience. This role is the first point of contact for clients and visitors and plays a key part in maintaining organized, efficient front-office workflows.

The Front Office Assistant supports advisors, Client Services Associates, and operational staff through meeting coordination, client communication assistance, data entry, and general office organization. The position operates within established procedures and firm guidelines, contributing to a consistent and professional office environment.

The Opportunity

This role is ideal for a dependable, detail-oriented professional who enjoys structured administrative work and takes pride in maintaining an organized, welcoming office environment.

You will support daily office operations, prepare meeting spaces, assist with CRM documentation, manage incoming calls and mail, and help maintain accurate digital records. The position requires professionalism, discretion, and strong attention to detail.

Key Responsibilities

Client Support & Front Office Operations

Greet clients and visitors in a professional and welcoming manner
Answer and route incoming calls appropriately
Maintain an organized and professional reception area
Prepare meeting spaces and materials for client appointments
Manage incoming and outgoing mail and deliveries
Track office supplies and coordinate replenishment

CRM & Data Management

Enter and update client contact information as requested
Assist with document scanning, filing, and digital record organization

Administrative & Operational Support

Monitor shared inboxes and route messages to appropriate team members
Assist with general data entry tasks
Support advisors and operational staff with meeting coordination and administrative tasks

Required Qualifications

High School Diploma
Minimum 1 year of administrative, office support, or client-facing experience
Experience working in a professional office environment
Proficiency with Microsoft Office Suite (Outlook, Word, Excel)
Experience coordinating and scheduling virtual meetings (e.g., Zoom)
Strong written and verbal communication skills
High attention to detail and organizational skills
Ability to manage multiple tasks within established processes
Ability to maintain confidentiality and follow established procedures

Preferred Qualifications

Associate’s degree or Bachelor’s degree
Prior experience supporting multiple team members
Experience using a CRM system
Experience coordinating client meetings or events
