Full Job Description

We are looking for a Medical Office Manager to organize and coordinate administrative duties and office procedures. Previous experience as a Front Office manager or Office Manager in a medical practice is required. This person is responsible for overseeing the office in collaboration with the Practice Manager. Primary responsibilities include ensuring patients receive friendly, efficient service and maintaining efficient flow of the overall office. The ideal candidate will have strong interpersonal skills and background in managing employees. A successful Office Manager should have experience with a variety of software (spreadsheets, reporting, etc) and be able to accurately handle administrative duties. Ultimately, the Office Manager should be able to ensure the smooth running of the office and help improve procedures and day-to-day operations.

Responsibilities:

· Manage employee schedules, time off requests, physician schedules.

· Ordering of office supplies

· Help with hiring non-medical staff

· General accounting/bookkeeping including the use of Excel spreadsheets

· Bank deposits

· Maintain the office condition and arrange necessary repairs

· General knowledge of all office equipment and coordination with IT department

· Address employee questions/concerns regarding office management issues

· Liaison between staff and physicians

· Plan in-house or off-site activities, i.e., parties, celebrations and conferences

Requirements:

· Proven experience as a medical Office manager, Front office manager, or Administrative Assistant

· Familiarity with the workings of a medical practice

· Strong interpersonal skills with conflict resolution abilities

· Knowledge of office administrator responsibilities, systems and procedures

· Hands on experience with office machines (e.g., fax machines and printers)

· Excellent time management skills and ability to multi-task and prioritize work

· Strong computer skills

· Attention to detail and problem-solving skills

· Excellent written and verbal communication skills

· Strong organization and planning skills in a fast-paced environment

· A creative mind with an ability to suggest improvements

· Professional appearance and demeanor
