Full Job Description

About the Role

We are seeking a highly organized and detail-oriented Office Administrative Coordinator to support senior leadership with a variety of administrative and operational responsibilities. This role requires someone who can effectively coordinate multiple priorities, communicate professionally, and ensure day-to-day administrative activities are completed accurately and on time.

The ideal candidate is proactive, resourceful, and comfortable working independently in a remote environment while collaborating with executives and cross-functional teams.

Key Responsibilities

Provide administrative support to senior management and company leadership.
Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
Prepare reports, presentations, meeting materials, and business documents.
Draft, proofread, and maintain professional correspondence and documentation.
Organize and manage calendars, appointments, and meetings.
Handle document preparation, submissions, and filing while maintaining confidentiality.
Coordinate ordering of office supplies, equipment, and other business-related purchases.
Track action items and follow up with internal and external stakeholders.
Assist with expense tracking, record keeping, and general administrative tasks.
Support special projects and other operational initiatives as assigned.

Qualifications

2–3+ years of experience in an administrative, executive assistant, office coordinator, or similar role.
Excellent written and verbal communication skills.
Strong organizational skills with exceptional attention to detail.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
High level of professionalism and discretion when handling confidential information.
Proficiency with Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
Comfortable using video conferencing and collaboration tools such as Microsoft Teams, Zoom, and Slack.
Self-motivated with the ability to work independently in a remote environment.

Preferred Qualifications

Based in Michigan (preferred), although qualified candidates from across the United States are encouraged to apply.
Experience supporting senior executives or leadership teams.
Familiarity with travel coordination, expense management, and document administration.
