Full Job Description

Munie Greencare Professionals is seeking a meticulous, structured, and highly dependable Accounts Payable & Payroll Specialist who takes pride in getting it right every time. This role is ideal for someone who values accuracy, consistency, process, and well-documented workflows.

In this position, you will manage day-to-day accounts payable activities and support weekly payroll processing for more than 300 full-time and seasonal employees across multiple states, with approximately one to one-and-a-half days per week dedicated to payroll administration. You will verify documentation, audit and reconcile data, research discrepancies, and ensure transactions are processed accurately, completely, and on time. When something does not add up, you dig in, follow the facts, and resolve it.

Key mindset: Job Costing. Every invoice, expense, and payroll entry should be viewed through the lens of accurate job, division, and cost-code assignment so management can rely on meaningful job-cost information.

Primary Responsibilities

Accounts Payable

Process vendor invoices, confirming proper coding, approvals, and supporting documentation.
Apply a job-costing mindset by assigning invoices and related costs to the correct job, division, and cost code.
Match invoices to purchase orders, receipts, work tickets, and other supporting records.
Maintain vendor files, W-9 documentation, payment terms, and accounts payable records.
Manage the accounts payable email inbox and respond professionally to vendor inquiries.
Prepare and process weekly check and ACH payment runs.
Review vendor statements, research discrepancies, and follow issues through resolution.
Assist with month-end accounts payable reconciliations, accruals, and audit support.
Maintain accurate, audit-ready records and support internal controls.

Payroll Support (Approximately 1–1.5 Days Per Week)

Assist with accurate and timely weekly payroll processing for field and office employees.
Process employee status changes, wage adjustments, deductions, and other approved payroll updates.
Audit payroll data, reconcile payroll reports, and research discrepancies before payroll is finalized.
Maintain payroll records and complete supporting documentation.
Coordinate with Human Resources, operations, and management regarding payroll questions and corrections.
Help ensure compliance with company policies and applicable federal, state, and local payroll requirements.
Protect the confidentiality of employee, payroll, and financial information.

Qualifications

Associate degree in Accounting, Business Administration, or a related field preferred.
Two to three years of experience in accounts payable, accounting, bookkeeping, payroll, or a related function.
Working knowledge of accounts payable procedures and payroll processing practices.
Experience with job-cost accounting in landscape, construction, or another service industry is preferred.
Experience with Aspire, QuickBooks, or a similar accounting system preferred.
Strong Microsoft Office skills, particularly Excel and Outlook.
Excellent organization, documentation, time-management, and follow-through skills.
Ability to manage multiple priorities and meet recurring weekly and monthly deadlines.
High level of accuracy, analytical thinking, and attention to detail.
Professional communication and customer-service skills.
