Full Job Description

We're seeking a dependable and highly organized Part-Time Accounts Payable Clerk / Administrative Assistant to assist with our day-to-day accounts payable operations.

This is an in-office position with a flexible part-time schedule. The person in this role must maintain consistent weekly availability and stay current on AP emails, invoices, payments, receipts, and other time-sensitive responsibilities.

We are looking for someone with prior accounts payable or bookkeeping experience who is comfortable working independently, managing deadlines, following up with vendors, and identifying discrepancies before they become problems.

The right candidate will be able to take ownership of routine AP responsibilities with minimal supervision while knowing when to ask questions or bring an issue to management's attention.

Responsibilities

Monitor and manage the Accounts Payable email inbox
Review vendor invoices for accuracy and completeness before entering them into QuickBooks Online
Enter and properly categorize bills in QuickBooks Online
Review employee timesheets and cross-reference hours against field tickets
Review contractor invoices and supporting documentation
Communicate with vendors regarding missing invoices, W-9s, invoice discrepancies, statements, and other AP-related matters
Issue and track purchase order numbers
Prepare a weekly Accounts Payable Aging Report for management review
Prepare approved vendor payments
Print, sign, record, and mail approved vendor checks
Maintain the company's check log
Process management-approved ACH and online payments through QuickBooks or vendor payment portals
Scan, organize, and match receipts to corresponding transactions
Maintain organized AP records and supporting documentation in OneDrive
Assist with other accounting and administrative tasks as needed

Qualifications

Previous accounts payable, bookkeeping, or similar accounting experience preferred
Familiarity with QuickBooks Online is strongly preferred
Comfortable working with Excel, Gmail, OneDrive, QuickBooks Time, and online vendor/customer portals
Strong organizational and time-management skills
High attention to detail and accuracy
Ability to work independently and stay on top of recurring responsibilities without constant supervision
Strong written communication skills for professional vendor correspondence
Comfortable following up on missing information and resolving discrepancies
Able to prioritize bills and payment-related tasks based on deadlines and management direction
Willing to ask questions or flag transactions when something does not appear correct
Ability to handle confidential financial and business information responsibly.

Schedule

Part-time, approximately 12–15 hours per week to start
This is an in-office position; remote work is not available for this role
Flexible part-time scheduling
Consistent weekly availability is required
The AP email inbox and time-sensitive AP responsibilities must be monitored and kept current throughout the workweek

Pay: $20.00 - $24.00 per hour
