About Enea:

Enea is a globally recognized landscape architecture studio with offices in Zurich, New York, Miami, and Milan. We design landscapes that reconnect people with nature — from private estates to large-scale urban environments — for clients who expect precision, craft, and excellence at every stage. Our work is held to a high-end standard, and it's only possible because of the discipline and dedication of a small, exceptional team.

About the role:

We're looking for a Studio Coordinator to be the operational backbone of our Miami studio — the person who keeps the office running, the proposal pipeline moving, and the team able to focus entirely on design. This is not a design role, but it sits at the center of everything design-related: office administration, project coordination support, and people operations all come together here. We're looking for someone who's genuinely excited to be part of a high-end, design-driven studio — not just to administer it, but to help it run at the level our work demands. You'll thrive in this role if you're rigorous about details, energized rather than rattled by competing priorities, and motivated by being trusted with real responsibility. As the studio grows, this role will grow with it.

Key responsibilities include but are not limited to:

Studio Operations

· Handle day-to-day errands: bank runs, office supplies, notary coordination, and petty cash management.

· Manage phones, general office communications, and visitor reception.

· Coordinate meeting schedules, prepare agendas, and arrange travel and accommodations for staff and visiting principals.

· Maintain digital and physical record sets following studio standards, and keep common areas and office inventory organized.

· Support fire extinguisher maintenance, office license renewals, and other compliance items.

· Liaise with our IT company and software vendors for technical support and license coordination.

· Oversee company car lease management and usage.

Proposal & Project Support

· Distribute and track preliminary questionnaires for new project inquiries; gather minimum information needed to advance proposals.

· Assist with take-offs and fee draft preparation.

· Review and summarize RFPs for the team, and draft client-facing emails.

· Organize record set folders after submittals, ensuring all files meet studio standards.

· Set up response letter templates and drawing narrative frameworks for associates.

Email & Calendar Management

· Monitor the Director & Associate Director’s inbox: flag urgent items, clear noise, and log deadlines and key dates into the studio’s scheduling tools.

· Support vendor payments and financial record-keeping in coordination with the Financial Controller.

· Support with meetings scheduling

People Operations

· Serve as the first point of contact for PTO requests, approvals, and the team PTO tracker.

· Coordinate new employee onboarding: set up workstations, software, and accounts; support job posting creation and management.

· Be a trusted, approachable presence for the team on HR-related matters — conflict resolution, raise requests, and general employee concerns — escalating to leadership as appropriate.

· Help plan and organize studio events and team outings.

What you bring:

3–5 years of experience in office administration, studio coordination, or operations support.
Fluent in English with strong written and verbal communication skills.
Comfortable managing competing priorities independently.
Proficient in MS Office, Outlook, and standard office tools (calendars, file management, cloud storage).
Bachelor's degree preferred.
Prior experience in a design, architecture, or creative professional services environment is a strong plus.

Bonus points:

Tech and AI fluency — we're actively integrating AI tools into how the studio works, and we'd love someone who can spot opportunities to automate the repetitive stuff and free the team up for design.

Pay: $50,000.00 - $55,000.00 per year
