Full Job Description

Position Summary

We are seeking an experienced Bookkeeper with strong multi-state e-commerce sales tax experience to join our growing team. This role is ideal for someone who has worked with online businesses and understands the complexities of sales tax compliance across multiple states.

The successful candidate will be responsible for maintaining accurate financial records, managing accounts payable and accounts receivable, performing account reconciliations, preparing financial reports, and supporting day-to-day accounting operations. A primary responsibility of this position is ensuring the accuracy of multi-state sales tax reporting and compliance for our online business operations.

The ideal candidate is highly detail-oriented, organized, and comfortable managing multiple priorities while ensuring compliance with evolving sales tax regulations.

Key Responsibilities

Manage and maintain multi-state sales tax compliance for the company's e-commerce operations.
Monitor taxable sales across multiple states and ensure proper sales tax collection.
Prepare and reconcile sales tax reports for timely filing and payment.
Research and stay current on changing state and local sales tax regulations affecting online businesses.
Maintain accurate sales tax records and supporting documentation for audits and compliance purposes.
Work with outside tax professionals to resolve sales tax questions, notices, and compliance issues.
Assist with sales tax registrations, nexus monitoring, and exemption certificate management as needed.
Maintain and reconcile the general ledger with accuracy and timeliness.
Process accounts payable, including invoice review, coding, approvals, and payment processing.
Manage accounts receivable, including invoicing, customer payments, collections, and account reconciliations.
Record daily financial transactions, including invoices, receipts, deposits, journal entries, and other accounting activities.
Reconcile bank accounts, credit card accounts, and balance sheet accounts.
Prepare monthly financial statements, including Profit & Loss, Balance Sheet, and Cash Flow reports.
Maintain organized financial records and ensure proper documentation of all accounting transactions.
Monitor vendor accounts and ensure timely payment of invoices.
Identify discrepancies and assist with resolving accounting issues.
Support month-end and year-end closing processes.

Required Qualifications

3+ years of bookkeeping or accounting experience.
Required: Hands-on experience managing and filing multi-state sales tax returns for an e-commerce or online business.
Experience preparing, filing, and remitting sales tax returns across multiple states, with a strong understanding of state-specific filing requirements, tax jurisdictions, and compliance regulations.
Experience monitoring sales tax and ensuring compliance with changing state tax laws.
Strong understanding of accounting principles and bookkeeping practices.
Proficiency with accounting software (QuickBooks, NetSuite, Sage, or similar ERP systems).
Advanced Microsoft Excel skills.
Excellent attention to detail, organizational skills, and the ability to manage multiple deadlines.

Preferred Qualifications

Experience with Shopify, WooCommerce, BigCommerce, or other e-commerce platforms.
Experience working with multi-state or multi-location businesses.
Experience in retail, distribution, or manufacturing industries is a plus.
Associate's or Bachelor's degree in Accounting, Finance, or related field preferred.
