Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth day-to-day functions and providing exceptional support to staff, clients, and visitors. Your energetic approach and attention to detail will help foster an efficient, welcoming environment. Responsibilities

Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks.
Organize and file documents systematically while ensuring confidentiality and easy retrieval.
Support calendar management by scheduling appointments, meetings, and coordinating events efficiently.
Assist with bookkeeping tasks such as invoicing, expense tracking, and basic financial record keeping.
Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client needs.
Handle clerical tasks including proofreading documents, managing correspondence, and supporting office management activities to ensure operational excellence.

Qualifications

Proven experience in office administration or clerical roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and familiarity with QuickBooks or similar accounting software.
Excellent computer literacy with the ability to learn new software quickly.
Strong typing skills with attention to detail for proofreading and data entry accuracy.
Bilingual abilities are highly desirable to assist diverse client needs.
Experience in customer service roles such as medical or dental receptionist is a plus.
Demonstrated ability to manage multiple tasks efficiently while maintaining professionalism and positive attitude.
