Full Job Description

We are recruiting on behalf of a well-established law firm seeking an experienced Legal Administrative Assistant to support its busy Trusts & Estates team. This is an excellent opportunity for a highly organized legal professional who enjoys working in a collaborative environment and providing exceptional support to attorneys and clients.

Key Responsibilities

Provide comprehensive legal and administrative support to attorneys within the Trusts & Estates practice.
Coordinate client meetings, maintain calendars, and manage attorney schedules.
Conduct conflict checks and open new client and matter files.
Prepare engagement letters, legal correspondence, and estate planning documents.
Assemble and submit packages to the Internal Revenue Service (IRS).
Record deeds and prepare documents for execution.
File pleadings using the Florida e-Filing Portal.
Proofread, edit, format, and finalize legal documents.
Set up client billing requirements and maintain accurate matter information.
Assist with probate administration and other transactional legal matters.
Communicate with clients, courts, and regulatory agencies as required.

Requirements

Minimum of 3–5 years' experience as a Legal Administrative Assistant supporting a Trusts & Estates or Estate Planning practice.
Strong understanding of estate planning, probate processes, and probate forms.
Knowledge of federal estate tax returns and gift tax returns is highly desirable.
Familiarity with local court rules and filing procedures.
Proficiency in Microsoft Office Suite, including Word, Outlook, and Excel.
Experience using document management systems and legal billing software.
Experience with Wealth Transfer Planning software is an advantage.
Excellent organizational, communication, and time management skills.
Strong attention to detail with exceptional proofreading and document formatting abilities.
Ability to manage multiple priorities in a fast-paced legal environment while delivering outstanding client service.
