Engense, Inc. dba DFNDR Armor is a U.S.-based advanced manufacturer specializing in lightweight ceramic body armor for military, law-enforcement, and security professionals. We support U.S. Department of Defense programs and are committed to delivering innovative protection solutions that enhance warfighter safety and survivability.

Position Summary

We are seeking an experienced, hands-on Accounting & Office Manager to oversee day-to-day accounting and help keep our administrative operations running smoothly.

This position works directly with executive leadership and coordinates closely with Sales, Production, employees, customers, vendors, and the company’s outside CPA. The ideal candidate is organized, dependable, financially knowledgeable, and comfortable taking ownership of a wide range of accounting and business-administration responsibilities.

Key Responsibilities

Manage day-to-day accounting in QuickBooks, including accounts payable, accounts receivable, customer billing, vendor payments, bank reconciliations, general-ledger activity, and monthly closing.
Prepare monthly financial, sales, and management reports for executive leadership.
Monitor outstanding receivables and cash flow and assist with budgeting and financial planning.
Coordinate sales-tax filings, annual tax records, R&D documentation, and other financial information with the company’s CPA.
Enter and manage customer orders, prepare invoices and production work orders, and coordinate order changes, returns, collections, and customer follow-up.
Administer payroll through Paychex, maintain PTO records, and support employee onboarding and personnel-file administration.
Coordinate order fulfillment and shipping activities with the Sales and Production teams, including tracking on-time delivery performance.
Manage general office operations, supplies, business licenses, insurance records, corporate documents, and office communications.
Maintain OSHA logs, subcontractor documentation, and other required administrative and compliance records.
Support government-contract administration and serve as, or complete company-sponsored training to become, the company’s Facility Security Officer.
Identify opportunities to improve administrative processes and assist executive leadership with special projects.

Qualifications

Required

Five or more years of hands-on accounting, bookkeeping, or office-management experience.
Strong proficiency with QuickBooks.
Solid knowledge of accounts payable, accounts receivable, payroll, bank reconciliations, and monthly financial reporting.
Strong Excel, Word, and Outlook skills.
Excellent organization, communication, and time-management abilities.
High attention to detail and a demonstrated ability to handle confidential information.
Ability to manage multiple priorities in a fast-moving manufacturing environment.

Preferred

Experience in manufacturing, government contracting, or a regulated business environment.
Experience with ERP systems, preferably in a manufacturing environment.
Experience with Paychex, employee onboarding, or HR administration.
Familiarity with OSHA recordkeeping or government-contract compliance.
Facility Security Officer experience or willingness to complete required training.
Associate’s or bachelor’s degree in accounting, finance, business administration, or a related field.
