Front Desk Coordinator / Concierge

Department: Administration / Front Office

Pay Range: $22–$26/hour, depending on experience

Employment Type: Full-Time

Overview

We are seeking a dynamic and personable Front Desk Coordinator/Concierge to be the welcoming face of our organization. This vital role manages front desk and lobby operations, delivers exceptional guest and visitor service, and provides administrative and coordination support across the office, executive leadership, production, and maintenance functions. The ideal candidate is energetic, detail-oriented, and possesses excellent communication skills, with the ability to anticipate needs and manage multiple responsibilities with poise and professionalism.

Responsibilities

Front Desk & Reception

Greet and direct visitors, vendors, contractors, and staff warmly and professionally, ensuring a positive first impression at all times
Serve as the primary point of contact at the front desk for employees and external guests
Monitor and manage the front entrance and lobby area
Manage multi-line phone systems, answering, screening, and routing calls with proper phone etiquette
Maintain visitor logs and follow company entry and badge procedures
Keep the front office area organized and professional

Mail, Shipping & Office Administration

Receive, sort, and distribute incoming mail and packages
Prepare outgoing mail, UPS, FedEx, and other shipments
Coordinate shipping pickups and track deliveries
Manage postage, shipping supplies, and general office/front-office inventory
Order and restock office supplies

Administrative & Executive Support

Handle incoming correspondence, emails, and inquiries using Microsoft Office and Google Workspace tools
Schedule appointments, meetings, interviews, and plant visits; manage calendars and coordinate conference room bookings and meeting logistics
Prepare and format documents, reports, presentations, and correspondence
Support leadership with travel coordination or expense documentation as needed
Help organize leadership meetings, agendas, and follow-up items
Assist with company events
Maintain organized filing systems, accurate data entry, and document proofreading
Support basic bookkeeping tasks using QuickBooks
Maintain confidentiality of sensitive information

Production & Team Support

Schedule team meetings and interviews
Distribute communications and notices to production teams
Coordinate onboarding logistics for new production employees
Assist with tracking training completions, certifications, and attendance logs
Serve as a point of contact for administrative coordination needs

Maintenance & Facilities Support

Log and track maintenance requests and follow up as needed
Coordinate scheduling for vendors, contractors, or service providers
Maintain documentation related to repairs, service agreements, and inspections
Support preventive maintenance scheduling through administrative tracking

Guest Experience

Anticipate guest and visitor needs and proactively resolve concerns to deliver a consistently welcoming, concierge-level experience

Qualifications

2+ years of experience in a front desk, concierge, hospitality, or administrative coordination role preferred
Strong customer service and interpersonal communication skills with professional phone etiquette
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong computer literacy, including data entry, filing systems, and document proofreading
Familiarity with multi-line phone systems, calendar management tools, and basic bookkeeping software such as QuickBooks
Experience in front desk, concierge, or medical/dental receptionist roles is a plus for understanding guest flow and appointment scheduling
High level of organization, attention to detail, and ability to manage multiple priorities in a fast-paced environment
Professional demeanor with the ability to handle sensitive and confidential information
Bilingual capabilities are highly desirable
Polished, professional presentation with a genuine passion for making others feel welcome
