Overview
We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with efficiency and professionalism. This vital role involves managing complex calendars, coordinating meetings, handling correspondence, and providing exceptional administrative support to ensure smooth daily operations. Duties

Manage and coordinate executive calendars, scheduling meetings, appointments, and travel arrangements with precision.
Prepare, proofread, and organize correspondence, reports, presentations, and other documents to ensure clarity and professionalism.
Handle incoming calls using multi-line phone systems with courteous phone etiquette; direct inquiries appropriately.
Maintain organized filing systems—both digital and physical—ensuring easy access to important documents.
Support office management tasks such as supply ordering, equipment maintenance, and overseeing front desk operations.
Provide exceptional customer support by addressing inquiries promptly via phone or email, ensuring positive interactions.
Assist with data entry, bookkeeping using QuickBooks or similar software, and basic bookkeeping tasks to support financial accuracy.
Coordinate meetings including agenda preparation, note-taking, and follow-up on action items.
Manage personal assistant responsibilities such as calendar management for executives and personal errands as needed.
Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for daily tasks with high computer literacy standards.

Qualifications

Proven experience as an executive assistant or in office management roles with strong clerical skills.
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, data entry, and general computer literacy.
Experience handling multi-line phone systems and front desk operations with professional phone etiquette.
Bilingual abilities are highly desirable to serve diverse client needs effectively.
Familiarity with QuickBooks or bookkeeping software is preferred for supporting financial tasks.
Demonstrated customer service skills with a friendly demeanor and positive attitude.
Attention to detail in proofreading documents and managing schedules accurately.
Previous experience in medical or dental receptionist roles is a plus but not required.
Ability to manage time efficiently through excellent organizational skills and multitasking capabilities.
