Full Job Description

Position Summary

We are looking for a proactive, deadline-driven Success Partner to own the space between our client relations and our day-to-day operations. You are the "command center" of the office: the person who translates client and operational requests into actionable team tasks and ensures nothing ever falls through the cracks. As the "glue" for the job site, you sit at the critical intersection of Client Relations and Day-to-Day Operations.

Essential Duties and Responsibilities:

· Internal & External Liaison: Serve as the primary communication link, translating complex requests into clear, actionable tasks for the operations team while providing high-touch communication to clients.

o Coordinate activities across departments to ensure adherence to company policies and procedures.

o Assist with the distribution, preparation and maintenance of presentations, reports, client forms, and internal documentation.

o Manage sensitive and confidential information including company correspondence, HR documents, client details, and accounting information.

o Plan and coordinate travel logistics, meeting agendas, and take and distribute meeting minutes.

· Process Guardian: Regularly review company processes and daily workflows to identify friction points and suggest improvements to enhance operational efficiency.

o Oversight of ServiceNow, monitoring client’s order system to ensure timely task assignment, follow-up, and communication between teams.

o Maintain QC Summary Report and submit weekly reports.

o Create and close billable jobs.

o Provide metrics for reporting and trend analysis.

o Review and correct timekeeping.

o Distribute and maintain uniforms.

· Anticipatory Service: Solve problems by anticipating potential conflicts or delays and coordinating proactively across departments.

· Operational Support: Manage the day-to-day workflows, including client onboarding, and tracking task deadlines to ensure zero slippage.

· Support warehouse inventory, order supplies, and run occasional local errands, pickup/drop-off team members to/from job sites.

· Answer incoming calls and greet clients/guests in a professional, welcoming environment.

· Provide general office support and assist with various duties as assigned.

Minimum Qualifications (Knowledge, Skills, and Abilities):

· Proactive Initiative: Naturally see what needs to be done and accomplish it with minimal supervision.

· Diplomatic Negotiation: Ability to manage competing priorities of clients and internal staff with poise.

· Strategic Detail-Orientation: Deep understanding of services to catch errors or opportunities others might miss.

· Full comprehension of office management systems and procedures.

· Excellent knowledge of all MS Office applications; Mid-Level Excel guru.

· Excellent customer service skills.

· Excellent time management skills and ability to multi-task and prioritize work.

· Strong professional written and verbal communication skills that align with leadership outcomes.

· Develop strong collaborative relationships with cross-functional teams and departments.
