Position Summary

We are seeking a Clinic Office Assistant to join our dynamic healthcare team. The ideal candidate will be able to thrive in a fast-paced environment, be detail-oriented, compassionate, and comfortable working in both clinical and administrative settings.

Key Responsibilities

Patient Care & Technical Support

Welcome walk-in and overflow patients with warmth and urgency, ensuring every patient feels heard and cared for
Deliver an exceptional patient experience at every touchpoint, from first greeting to follow-up
Support the clinician during patient appointments, anticipating needs and helping visits run smoothly
Guide patients through service and repair options with patience, clarity, and compassion

Administrative Duties

Answer a high volume of calls with professional phone etiquette
Schedule patient appointments and maintain quality control for new orders
Perform essential administrative services and track departmental information
Prepare reports on administrative activities and patient care metrics
Handle correspondence and confidential patient information
Maintain accurate documentation in patient management systems
Coordinate with manufacturers to resolve product issues

Operations & Maintenance

Maintain infection control protocols for clinical instruments
Manage supply inventory and place orders as needed
Ensure clinical areas are properly stocked and maintained

Qualifications

Required:

High school diploma or equivalent
Strong computer skills and the ability to learn specialized software
Excellent communication and organizational skills
Professional demeanor with a patient-centered approach

Preferred:

Experience working with older adults
Healthcare or administrative experience
Customer service background
