Full Job Description

We are a large multi-specialty ophthalmology practice dedicated to serving the vision needs of our patients. The front desk department fulfills a vital role in creating a warm and caring atmosphere for our patients and ensures patients are aware of their insurance coverage and out-of-pocket costs. Physical requirements include the ability to sit at a desk or work space for up to eight hours per day and transition to a standing position frequently.

Core Performance Categories and Job Responsibilities

Patient focus and communications
Smiles, greets and uses patient’s name
Treats every patient with compassion, respect and friendly service
Explains HIPAA regulations and PEA Privacy Notice
Answers questions or concerns on insurance coverage and benefits
Answers questions regarding reason for appointments, testing and billing
Dresses professionally
Technical skills
Has working knowledge of appointing, testing and billing
Enters and evaluates demographic information in Athena, verifies all necessary information is received, completed and signed
Ensures insurance information on file is correct, verifies insurance and eligibility
Collects payments: co-pays, co-insurance, deductibles, non-covered charges and past due balances
Schedules non-PEA tests such as MRI, CT Scans, ODC, etc.
Ensures proper authorizations, eligibility and referrals are obtained and on file. Obtains such when needed
Schedules appointments with correct provider, specialty and insurance coverage
Reads and understand clinical notes. Uses such to schedule appointments
Preps medical charts for same day appointments when needed
Knows and follows end-of-day closing process
Cross-trained in Communications and is able to cover as needed
Uses time effectively
Peer relations
Always polite, helpful and shows a good attitude when interacting with peers
Attends work regularly (misses only allowed number of days)
Punctual and shows up ready to work, well-rested, and mentally sharp
Assists with other tasks as asked
Seeks out opportunities to learn additional tasks
Contributes ideas and suggestions on workplace improvement
Receives constructive feedback professionally
Accepts accountability for actions
Speaks with good purpose and does not become involved in gossip or negativity
