Patient Care Coordinator & Clinical Receptionist

Starting Pay: $22/hour | 3-Month Performance Review with Opportunity for Pay Increase

Job Summary

We are seeking an experienced Patient Care Coordinator & Clinical Receptionist to join our outpatient behavioral health team. This position serves as a key point of contact for patients while supporting the clinical, administrative, and daily operational needs of the practice.

***Candidates must have previous direct experience working in a Psychiatric Rehabilitation Program (PRP), an outpatient mental health/behavioral health clinic, and a clinical or case management setting***

***The ideal candidate should be compassionate, organized, dependable, detail-oriented, and comfortable managing multiple responsibilities in a fast-paced clinical environment***

Candidates without Psychiatric Rehabilitation Program (PRP) and outpatient mental health experiences will not be considered.

Responsibilities include patient reception, appointment scheduling, clinical and case management support, PRP recruitment and enrollment, insurance verification, medication prior authorizations, EHR documentation, patient tracking, referrals, care coordination, and completion of FMLA, short-term disability, work notes, and other provider-directed forms.

Starting pay is $22/hour. Compensation will be reviewed after 3 months based on performance, reliability, initiative, accuracy, leadership, and ability to independently manage the responsibilities of the position.

Responsibilities

Greet patients, visitors, and referral sources and provide professional, compassionate customer service.

Schedule, confirm, reschedule, and coordinate appointments for therapists, psychiatric providers, nurse practitioners, PRP staff, and case managers.

Manage provider and Teams calendars to maximize scheduling efficiency and minimize appointment gaps.

Coordinate new patient intakes, psychiatric evaluations, therapy appointments, PRP assessments, and follow-up appointments.

Monitor no-shows and cancellations and conduct appropriate patient follow-up.

Recruit, educate, and enroll eligible patients into the Psychiatric Rehabilitation Program (PRP).

Coordinate PRP referrals, assessments, enrollment documentation, consents, renewals, and discharge documentation.

Support clinical and case management workflows, including patient tracking, referrals, follow-up care, and coordination of services.

Verify insurance eligibility through EVS and payer portals and confirm active authorizations.

Obtain medication prior authorizations through CoverMyMeds.

Assist with copay collection, insurance questions, and accurate demographic and insurance documentation.

Maintain accurate patient records and EHR documentation; scan and upload referrals, authorizations, labs, medical records, and other clinical documents.

Complete and track FMLA, short-term disability, work notes, medical leave forms, discharge summaries, and other provider-directed paperwork accurately and timely.

Assist providers and clinical staff with documentation preparation, patient tracking, care coordination, and follow-up.

Communicate effectively with patients, providers, therapists, PRP staff, case managers, pharmacies, insurance companies, referral sources, and community partners.

Handle telephone calls, faxes, scanning, medical record requests, data entry, filing, and general clinical office duties.

Assist with staff workflow, training, administrative coordination, and day-to-day office operations.

Identify workflow concerns and contribute to process improvement.

Maintain compliance with HIPAA, OSHA, COMAR, Joint Commission standards when applicable, and organizational policies and procedures.

Assist with audits, chart reviews, quality improvement, and regulatory compliance activities.

Required Experience & Qualifications

The following experience is required:

Psychiatric Rehabilitation Program (PRP) experience.

Outpatient mental health/behavioral health clinic experience.

Clinical experience and/or case management experience.

Experience coordinating behavioral health services, referrals, and patient care.

Experience working directly with patients in a mental health or behavioral healthcare environment.

Experience completing or coordinating FMLA, short-term disability, work notes, and other medical/clinical forms.

Strong understanding of behavioral health clinical workflows and patient confidentiality.

Minimum of 2 years of relevant behavioral health, clinical, case management, or healthcare administrative experience preferred.

Preferred Qualifications

Supervisory, lead, or managerial experience.

Experience with PRP recruitment, referrals, eligibility, assessments, enrollment, and documentation.

Experience with EHR/EMR systems such as Tebra (Kareo)

Experience with EVS, insurance verification, Medicaid, Medicare, commercial insurance, and prior authorizations.

Knowledge of medical terminology and behavioral health documentation.

Familiarity with Behavioral Health CPT/ICD procedure codes.

Strong computer skills, including Microsoft Office and Microsoft Teams.

Bilingual skills are a plus.

Knowledge, Skills & Abilities

Strong understanding of outpatient mental health and behavioral health workflows.

Ability to coordinate care and communicate effectively with patients, providers, therapists, PRP staff, case managers, and community partners.

Compensation & Performance Review

Starting Pay: $22.00/hour

A 3-month performance review will be conducted. Compensation may be increased based on demonstrated performance, reliability, attendance, initiative, accuracy, leadership, patient service, and ability to independently perform and take ownership of the responsibilities of the position.

Ideal Candidate

The ideal candidate is an experienced behavioral health professional with PRP, outpatient mental health, clinical, and/or case management experience who understands the needs of behavioral health patients and can effectively coordinate both clinical and administrative responsibilities.

The successful candidate will be comfortable working directly with patients, supporting providers and clinical staff, managing documentation and referrals, completing required forms, coordinating PRP services, and helping maintain an organized and efficient outpatient mental health practice.

Pay: $22.00 per hour
