Full Job Description

<Position Summary>
The Admissions Coordinator - Call Center is responsible for handling inbound and outbound admissions-related communication, documenting prospective patient information, coordinating next steps, supporting admissions workflow, and maintaining timely follow-up with leads, families, and referral sources. This role is non-clinical and does not perform final clinical intake, diagnosis, medical screening, or independent level-of-care determinations. Those responsibilities remain with appropriately qualified clinical staff. The position supports the admissions department by serving as a professional first point of contact, facilitating communication, protecting confidentiality, and helping qualified prospects move efficiently through the admissions pipeline.

<Essential Functions>

Answer inbound calls from prospective patients, family members, referral sources, hospitals, case managers, and community partners.
Conduct outbound follow-up calls to inquiries, missed opportunities, incomplete referrals, and assigned lead lists.
Collect, verify, and document preliminary non-clinical information including contact data, referral information, insurance details, and general treatment interest.
Explain the admissions process, program options, next steps, and general expectations using approved scripting and company guidelines.
Route prospective patients to licensed clinical staff for screening, assessment, and final admission determination.
Coordinate scheduling for callbacks, assessments, arrival times, and admission-related communication.
Support insurance information collection and internal benefits-verification workflows.
Maintain accurate documentation in CRM, EMR, VOIP, and related systems.
Update lead stages, call outcomes, follow-up attempts, and final dispositions in accordance with department policy.
Communicate with approved contacts and referral sources only in accordance with applicable confidentiality requirements.
Escalate urgent or high-risk concerns immediately to clinical or supervisory staff.
Coordinate with admissions leadership, clinical staff, utilization review, operations, transportation, and business office teams as needed.
Participate in quality assurance reviews, training, scripting updates, and process-improvement initiatives.
Meet department standards for responsiveness, professionalism, documentation quality, attendance, and follow-up timeliness.

<Role Boundaries>

May gather non-clinical information, explain process steps, document communications, schedule next steps, and support workflow coordination.
May not diagnose, determine medical necessity independently, assign level of care independently, provide medical advice, or guarantee admission or insurance coverage.

<Minimum Qualifications>

Prior experience in a call center, admissions support, patient access, healthcare coordination, intake support, customer service, or similar high-volume communication role.
Strong verbal and written communication skills.
Strong documentation and computer skills.
Ability to manage multiple calls, follow-ups, and system updates in a fast-paced environment.
Ability to communicate with empathy, professionalism, and emotional control.
Ability to maintain confidentiality and follow company procedures.
Ability to work a schedule that may include evenings, weekends, or holidays if required.

<Preferred Qualifications>

Experience in behavioral health, substance use treatment, detox, residential, PHP, or IOP settings.
Experience with CRM, EMR, call-tracking systems, and insurance workflows.
Bilingual English/Spanish. Experience working with families in crisis and professional referral sources.

<Work Enviornment and Physical Requirements>

Office-based or remote call center environment, depending on company policy.
High-volume phone and computer-based work.
Frequent sitting, speaking, listening, typing, and screen use.
Ability to use multiple software systems simultaneously.
May require evening, weekend, or holiday coverage based on business need.

<Compliance Requirements>

Employee must comply with all company policies and procedures relating to confidentiality and privacy, documentation standards, call handling standards, information security, admissions workflow requirements, escalation protocols, attendance, and timekeeping.

<Performance Standards>

Performance may be evaluated based on call responsiveness, speed to contact, documentation accuracy, follow-up completion, professionalism, attendance, punctuality, and adherence to scripting and workflow expectations.

Pay: $40,000.00 - $150,000.00 per year
