Full Job Description

About the Position

We are seeking a highly organized, dependable, and detail-oriented Assistant Office Manager to join our automotive dealership team. This position will work closely with the Office Manager and dealership management to ensure the accounting and administrative functions of the dealership run smoothly and accurately.

The ideal candidate has automotive dealership experience, strong accounting and organizational skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Assist the Office Manager with the daily operations of the dealership accounting office
Assist with deal breakdowns and posting lease, retail, and wholesale transactions
Assist with accounts payable and accounts receivable
Verify and reconcile cash receipts, deposits, and schedules
Assist with bank reconciliations and month-end closing procedures
Process trade payoffs and aftermarket warranty payments
Review deals for accuracy and completeness before final processing
Assist with customer and lender inquiries regarding paperwork and transactions
Maintain accurate accounting records and dealership files
Monitor schedules and identify discrepancies or missing documentation
Communicate with sales, service, parts, finance, and management departments
Help train and support office/accounting staff
Assist with audits and manufacturer or corporate reporting
Maintain confidentiality of financial and customer information
Perform other administrative and accounting duties as assigned

Qualifications

Previous automotive dealership accounting experience preferred
2+ years of accounting or office management experience
Excellent organizational and time-management skills
Strong attention to detail and accuracy
Proficiency with Microsoft Excel and Microsoft Office
Ability to work independently while also functioning as part of a team
Excellent communication and problem-solving skills
Ability to prioritize and meet deadlines in a fast-paced environment
Experience with Reynolds & Reynolds DMS preferred
Knowledge of CT DMV and automotive dealership processes is preferred
Highly reliable and dependable with consistent attendance and punctuality
