Full Job Description

ACCOUNTING ASSISTANT – PART TIME

MISSION STATEMENT

St. Mary's Academy, sponsored by the Sisters of the Holy Names of Jesus and Mary since 1859, is a Catholic high school for young women, providing a challenging college-preparatory education in a vibrant learning environment. SUMMARY

The Accounting Assistant will provide assistant to the Finance Department. The responsibilities include accounting, administrative, and bookkeeping duties.

KEY RESPONSIBILITIES

Assign/prepare invoices for processing, ensuring all documentation and approvals are obtained, processes correspondence
Enter & process bi-weekly accounts payable and reimbursement payments for distribution; records EFT and wire payments into the AP System
Prepare bank deposits and enter into MIP
Process credit card donations and school payments
Bills FACTS incidental billings for field trips, retreats, books, etc. and prepares journal entry for MIP
Prepares FACTS remittance spreadsheets, and report pledge payments to Development
Assist in monthly Tuition Receivables reporting and following up on delinquent accounts according to policies
Record and reconcile credit card and PayPal transactions
Filing of finance office documentation.
Maintain vendor files and answer invoice related questions
Assist in monthly balance sheet reconciliations
Assist in updates to student accounts in FACTS
Complete special projects as assigned
Various other duties as assigned

MINIMUM QUALIFICATIONS

· Prefer 3-4 years of overall professional accounting experience

· Excellent communication and relationship building skills with an ability to prioritize, negotiate and work with a variety of internal and external stakeholders

· Must be proficient in PC skills- Accounting software, Microsoft Work, Microsoft Excel and Microsoft Outlook. Experience with MIP Accounting software is a plus

· Must be highly organized and be able to work with confidential information and be able to adapt to a fast-paced office

· Personal qualities of integrity, credibility and dedication to the mission of St. Mary's Academy

PREFERRED QUALICATIONS

· Non-profit experience preferred

· Private school experience preferred

KNOWLEDGE, SKILLS AND ABILITIES

· Bachelor’s degree in Accounting, is a plus

SALARY AND BENEFITS

Salary commensurate with qualifications and experience. This is a part-time, salaried, exempt, 12-month position. This position does not qualify for benefits.
