Contract Legal Billing / Office Assistant (Hybrid, Part-Time)

Position: Legal Billing / Office Assistant (Contract / 1099)
Schedule: Part-time hybrid (24–32 hours/week, 3-4 days per week)
In-Office Requirement: 2–3 days per week in office
Availability: 8:30 AM – 5:00 PM during remote and office days
Location: Lake Oswego, Oregon
Start Date: August 2026

About Us

We are a boutique litigation defense law firm located in beautiful Lake Oswego. Our team values efficiency, accuracy, and collaborative support. We are seeking a reliable, detail-oriented contract professional to manage our billing operations and step in as a back-up office assistant.

Role Overview

This dual-role contract position focuses heavily on the firm's electronic billing management. Additionally, you will provide critical operational support by covering the office assistant’s desk one day a week and during staff vacations.

Primary Responsibilities

Legal Billing & Accounts Receivable

Input attorney billable time and client emails into the Clio Billing System.
Draft, review, and audit invoices for accuracy, data integrity, and compliance with specific client billing guidelines.
Verify that all invoices have received proper internal approvals prior to submission.
Prepare LEDES files and submit invoices via web-based e-billing networks or direct email.
Monitor e-billing portals for invoice validations, approvals, reductions, and rejections.
Research, troubleshoot, and resolve e-billing errors or invoice rejections to resubmit corrected claims.
Manage Accounts Receivable, enter client payments into Clio and QuickBooks Online, and handle physical bank deposits.

Back-Up Office Assistant (1 Day/Week & Vacation Coverage)

Process incoming physical mail by logging, scanning, and distributing correspondence.
Manage the firm's central phone lines and voicemail systems.
Save all incoming emails, electronic correspondence, and digital files to our online document system.
Coordinate and schedule telephone conferences, mediations, depositions, and court reporters.
Proofread, format, and finalize professional letters, status reports, and legal pleadings.
Draft routine cover letters and administrative correspondence.
File legal pleadings electronically (Efile) with the appropriate courts.

Qualifications

Experience: Strong familiarity with law firm billing practices and LEDES file formats preferred.
Technical Skills: Knowledge of QuickBooks Online, Clio Billing System, Microsoft Outlook, Microsoft Word, and Adobe Acrobat.
Core Competencies: Exceptional organizational, analytical, and problem-solving skills. High attention to compliance and data integrity.
Reliability: Ability to maintain standard business hours (8:30 AM – 5:00 PM) when working remotely, with reliable transportation for in-office days and banking runs.

Compensation & Terms

This is a 1099 independent contractor position. Candidates are responsible for their own tax withholdings. Hourly rate is $26 but may be negotiable based on experience.

Pay: From $26.00 per hour
