Full Job Description

Overview

Serving the City of Poway and County of San Diego since 1985, and an accredited member of the Better Business Bureau, D.C. Boone Construction, Inc., has an immediate opening for a permanent, part-time, Office Assistant / Bookkeeper. Hours of employment range from 25 – 30 hours weekly. Compensation based on experience.

The right candidate will be a self-starter, well organized and able to work alone and independently as well as working collaboratively with staff. Responsibilities include, but are not limited to, the following:

Support

· Support the general contractor and field personnel, providing information on projects; contract preparation; applying for permits and scheduling inspections; obtaining portable toilets and dumpsters and scheduling maintenance of such; communicating with vendors and subcontractors

· Assist in the overall facilitation of expediting the scope of construction projects

· Workers’ compensation monthly reporting and payments; insurance renewals; audits; and injury reporting

· General liability insurance renewals and audits

· Bond renewals

· Maintain office operations; maintenance; and equipment

· Communicate with IT and web contractors; coordinate computer software maintenance and repair

· Order office supplies, procure materials and equipment rentals as needed; run occasional errands

· Set up and maintain new subcontractors and suppliers; obtain W-9 forms, subcontractor agreements and certificates of insurance

· Create new employee files and maintain current information

· Track preliminary notices, issue and obtain waivers and releases

Bookkeeping / Accounting

· Accounts payable:

- Set up new vendors, receive bills, review against contracts; enter into QuickBooks; process payments

- Balance subcontractor and supplier statements; identify, correct and resolve errors and discrepancies

· Accounts receivable:

- Set up new clients and maintain current information

- Create estimates and invoices

- Receive, record and deposit payments

· Payroll:

- Set up new employees and maintain current information

- Receive and audit employee time sheets against contract budgets; maintain paper and electronic copies

- Enter employee time into QuickBooks; assign job, service and workers’ compensation codes

- Prepare and submit biweekly payroll; print, file and maintain relevant reports

· Bookkeeping:

- Monitor and analyze job costs against contract budgets

- Extract data for change orders and assist with special invoicing

- Extract quarterly payroll reports; print and file paper copies, maintain electronic copies

Qualifications

· At least 3 years of experience in bookkeeping & accounting, certification highly desired

· At least 3 years of experience in QuickBooks, certification highly desired (experience in other accounting software will be considered)

· Experience in project bookkeeping in the construction industry highly desired

· Proficient in Windows Excel and Word

· Possession of excellent oral and written communication and critical thinking skills

· Able to prioritize and multi-task while adhering to strict deadlines; excellent follow-up on action items
