Part-Time 21st Century Community Learning Center (21st CCLC) Program Coordinator

Location: Prescott Valley Charter School – Prescott Valley, AZ

Job Type: Part-Time, Grant-Funded (School-Year Position)

Pay: $25.00 per hour

Work Schedule:

- Monday–Thursday: 3:00 p.m. – 5:30 p.m.

- Friday: 7:45 a.m. – 1:30 p.m.

- Additional planning, coordination, reporting, and staff collaboration hours as needed.

- Approximately 17–20 hours per week during the school year.

Position Summary

Prescott Valley Charter School is seeking a highly organized, detail-oriented, and collaborative 21st Century Community Learning Center (21st CCLC) Program Coordinator to oversee the daily operation of the school's federally funded 21st CCLC program serving students in grades K–8.

The Program Coordinator is responsible for ensuring the successful implementation of all program activities, maintaining compliance with federal grant requirements, coordinating communication between school-day teachers and after-school tutors, managing student enrollment and attendance, maintaining grant documentation, collecting and reporting program data, supervising program staff, coordinating family engagement activities, and supporting continuous program improvement.

The ideal candidate possesses exceptional organizational skills, strong communication abilities, and experience managing educational programs while maintaining compliance with grant requirements.

Essential Duties and Responsibilities

Program Administration

- Coordinate the daily operation of the 21st CCLC after-school and Friday program.

- Ensure all grant activities are implemented in accordance with federal, state, and grant requirements.

- Develop and maintain program schedules, calendars, and activity plans.

- Coordinate student enrollment, parent registration, and participant orientation.

- Manage student attendance records and ensure accurate daily sign-in/sign-out procedures.

- Maintain all required grant documentation and compliance records.

- Coordinate tutor schedules and program staffing.

Staff Coordination

- Supervise and support tutors, paraprofessionals, and enrichment instructors.

- Conduct regular staff meetings and communicate program expectations.

- Meet with classroom teachers each Friday to review student academic progress, intervention needs, and instructional priorities.

- Communicate school-day teacher feedback and student progress information to tutors to ensure after-school instruction aligns with classroom learning.

- Coordinate instructional materials and resources needed by program staff.

Data Collection & Grant Compliance

- Maintain accurate student participation and attendance data.

- Complete and maintain required time and effort logs, personnel activity reports, and grant compliance documentation.

- Collect, organize, and submit required program data for grant reporting.

- Assist with grant monitoring visits, audits, and program evaluations.

- Maintain inventories of instructional materials and program supplies.

- Ensure all required student, parent, and staff documentation is complete and properly maintained.

Family & Community Engagement

- Coordinate parent recruitment and student registration.

- Maintain regular communication with families regarding attendance, program opportunities, and student progress.

- Plan and coordinate family engagement events required by the grant.

- Promote the program through school communication platforms and outreach efforts.

Program Operations

- Coordinate instructional materials, supplies, snacks, and other program resources.

- Assist with tracking program expenditures and purchase requests.

- Coordinate transportation and other operational needs with school staff.

- Monitor student participation and encourage consistent attendance.

- Support a safe, welcoming, and positive learning environment.

- Assist staff in implementing positive behavior supports.

Additional Responsibilities

- Participate in required professional development and grant trainings.

- Collaborate with school administration to ensure program goals align with the school's academic priorities.

- Maintain confidentiality of student and personnel information.

- Follow all school policies, grant requirements, and student safety procedures.

- Perform other duties necessary for the successful implementation of the 21st CCLC program.

Minimum Qualifications

- Bachelor's degree required.

- Experience in education, youth programming, program coordination, office management, or educational administration preferred.

- Strong organizational, project management, and communication skills.

- Experience maintaining detailed records and working with data.

- Ability to manage multiple priorities and meet deadlines.

- Proficiency with Google Workspace and Microsoft Office.

- Ability to obtain and maintain a valid Arizona IVP Fingerprint Clearance Card.

Preferred Qualifications

- Arizona teaching or administrative certification preferred.

- Previous experience working with federally funded education grants or 21st Century Community Learning Centers.

- Experience supervising staff and coordinating educational programs.

- Experience with student information systems and grant reporting.

- Knowledge of evidence-based academic intervention programs.

Physical Requirements

- Frequently stand, walk, sit, bend, and move throughout classrooms and campus facilities. Using stairs and walking up and down hills and safely use crosswalk with children

- Lift and carry up to 25 pounds.

- Occasionally assist with setting up program materials and family engagement events.
