Job Overview

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team. This role combines essential bookkeeping responsibilities with administrative support duties, ensuring smooth office operations and accurate financial record-keeping. The ideal candidate will be highly organized, tech-savvy, and possess excellent communication skills, including bilingual proficiency. This paid position offers an exciting opportunity to contribute to a vibrant workplace while honing your administrative and financial skills.

Responsibilities

Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Maintain accurate financial records and prepare reports for management review
Handle data entry with precision, ensuring all information is current and correctly categorized
Support office management activities such as scheduling appointments, maintaining supplies, and organizing files
Answer multi-line phone systems promptly with professional phone etiquette and direct calls appropriately
Assist front desk operations by greeting visitors, managing client communication, and providing excellent customer service
Prepare documents using Microsoft Office applications, especially Word and Excel, including spreadsheets for budgeting and tracking purposes
Support client communication efforts through phone calls, emails, and in-person interactions
Perform general clerical tasks such as copying, scanning, filing, and maintaining office organization

Experience

Previous office experience with a focus on administrative support or clerical work is required
Proven experience in bookkeeping or accounting roles utilizing QuickBooks or similar software is highly preferred
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel) and productivity software
Excellent organizational skills with the ability to manage multiple tasks efficiently in a fast-paced environment
Bilingual abilities are a plus to effectively communicate with diverse clients and team members
Demonstrated customer service skills with professional phone communication and front desk experience
Familiarity with data entry processes, time management techniques, and office management best practices
Personal assistant or administrative support experience will be considered an asset
