THE ROLE

The Office Administrator is the operational backbone of Dynamite Roofing. You are the first voice our customers hear, the person keeping cash moving, and the force that turns inbound interest into qualified opportunities for our sales team. This role owns three critical functions: managing our main phone line with urgency and professionalism, driving collections , and serving as the primary point of contact for customer financing.

This is a high-accountability, fast-paced role where your results are visible and your performance is rewarded. If you thrive in structure, take ownership, and love keeping operations running at a high level — this role is for you.

WHAT YOU WILL DO

Serve as the first point of contact for all inbound customer calls and texts, answering within 2 rings with professionalism and urgency
Drive accounts receivable efforts and proactively follow up to resolve outstanding balances
Trigger, track, and reconcile invoices to ensure accurate and timely billing across all job types
Serve as the primary stakeholder in customer financing coordination — managing the process from application to completion
Record and verify all payment activity in company systems with consistency and accuracy
Monitor collection timelines, identify bottlenecks, and take corrective action to meet targets
Qualify inbound leads and convert marketing-qualified leads into sales-qualified opportunities for the sales team
Hand off qualified leads to Sr. Sales Coordinators with full documentation
Accurately document all lead information, payment data, and customer interactions in the CRM
Performs other duties as assigned

WHO YOU ARE

You have at least 1 year of experience in an office, administrative, customer service, collections, or billing role
You are a strong communicator — composed, professional, and clear on the phone and in writing
You are highly detail-oriented and take accuracy in documentation seriously
You are self-motivated and can manage competing priorities without being micromanaged
You are comfortable with CRM platforms, invoicing tools, and standard business software
You take ownership of your results and follow through without being chased
You are coachable and genuinely open to feedback and development
You do not have a nine-to-five mindset — you care about getting it right, not just getting it done

COMPENSATION

This role pays a competitive hourly base rate plus a monthly performance-based incentive tied to collection timelines, lead conversion, and customer satisfaction metrics. High performers have a meaningful opportunity to increase their total earnings every single month.
