Job Summary

We are seeking a highly organized and proactive Asistente (Secretaria) Ejecutiva to join our dynamic team. This role is essential in providing comprehensive administrative support to executive leadership, managing office operations, and ensuring seamless communication within the organization. The ideal candidate will demonstrate exceptional organizational skills, proficiency in office management tools, and the ability to handle confidential information with discretion. Bilingual proficiency and strong customer service orientation are highly valued to facilitate effective interaction with diverse stakeholders.

Responsibilities

Manage executive calendars, schedule appointments, and coordinate meetings efficiently.
Handle incoming calls using multi-line phone systems, practicing professional phone etiquette and providing excellent customer service.
Prepare, review, and organize documents, reports, and correspondence with accuracy and attention to detail.
Maintain filing systems—both physical and electronic—to ensure easy retrieval of information.
Perform data entry tasks accurately using Microsoft Office and Google Workspace applications.
Assist with bookkeeping activities, including basic bookkeeping tasks using QuickBooks or similar software.
Support office management functions such as supply inventory, equipment maintenance, and general administrative duties.
Serve as a point of contact for clients and visitors at the front desk, ensuring a welcoming environment.
Handle confidential information responsibly while maintaining professionalism in all interactions.
Coordinate travel arrangements, calendar management, and personal assistant duties as required.
Provide administrative support for special projects or initiatives to enhance operational efficiency.

Qualifications

Proven experience in office administration, clerical work, or executive assistance.
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic QuickBooks knowledge.
Excellent organizational skills with the ability to prioritize tasks effectively.
Bilingual fluency in English and Spanish is preferred to facilitate diverse communication needs.
Demonstrated experience in handling multi-line phone systems and client communication.
Exceptional attention to detail coupled with strong time management skills.
Ability to handle sensitive information discreetly and professionally.
Previous experience in customer service or client support roles is advantageous.
Familiarity with office management procedures and data entry processes.
Personal assistant experience or calendar management skills are highly desirable.
