Job Title: Account Coordinator

Reports To: Sales Manager

Job Type: Full-Time
FLSA Status: Non-Exempt

Pay Range: $28.00 - $32.00 (based on experience and qualifications)

Bonus Opportunity: Additional bonus opportunities may be available for new customer acquisition. Eligibility and terms are subject to company guidelines.

We are seeking an experienced Account Coordinator who is fluent in Mandarin and English to join our Fremont team. This position serves as the primary point of contact for assigned customer accounts, ensuring orders are processed accurately, customer needs are addressed promptly, and internal departments work together to deliver exceptional customer experience.

Position Summary:

The Account Coordinator is responsible for supporting and coordinating the day-to-day needs of assigned customer accounts. This role manages customer orders, maintains strong customer relationships, resolves order-related issues, and collaborates closely with Sales, Operations, Warehouse, and Transportation to ensure timely and accurate order fulfillment.

The ideal candidate is organized, detail-oriented, customer-focused, and thrives in a fast-paced food distribution environment.

Key Responsibilities:

Serve as the primary point of contact for assigned customer accounts.
Build and maintain positive customer relationships through professional and responsive communication.
Process customer orders accurately and efficiently.
Respond to customer inquiries regarding products, pricing, inventory availability, deliveries, and order status.
Coordinate with Operations, Warehouse, Transportation, and other internal departments to ensure timely order fulfillment.
Monitor customer orders from entry through delivery and proactively communicate updates or issues.
Maintain accurate customer account information, pricing, and sales documentation.
Resolve customer concerns, order discrepancies, returns, and credits promptly and professionally.
Follow up with customers to ensure satisfaction and address ongoing account needs.
Assist the Sales Manager with account maintenance, reporting, and customer communications.
Prepare reports, spreadsheets, and other sales documentation as requested.
Maintain confidentiality of customer and company information.
Follow all company policies, food safety requirements, and workplace safety procedures.
Perform other duties as assigned.

Required Qualifications

High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
Minimum of two (2) years of experience in account coordination, sales support, customer service, order management, or a related role.
Fluency in Mandarin and English (spoken and written) is required for regular communication with Mandarin-speaking customers, vendors, and business partners.
Excellent customer service, communication, and relationship-building skills.
Strong organizational, multitasking, and time management abilities.
Strong attention to detail, accuracy, and problem-solving skills.
Proficient in Microsoft Office Suite (Outlook, Excel, and Word).
Ability to work independently and collaboratively in a fast-paced environment.

Preferred Qualifications

Experience in produce, food manufacturing, food distribution, or wholesale.
Experience managing customer accounts, processing orders, and coordinating deliveries.
Experience using ERP software such as Produce Pro.

Physical Requirements & Work Environment:

Ability to sit, stand, walk, bend, and reach throughout the workday.
Frequent use of hands and fingers to operate a computer, telephone, and office equipment.
Ability to occasionally lift and carry up to 25 pounds.
Ability to occasionally enter warehouse and refrigerated work areas.
