Position Summary
The AI & Process Optimization Specialist is responsible for developing, maintaining, and continuously improving Guardian’s Quality Management System (QMS), operational workflows, and AI-driven automation systems. This role ensures company processes are clearly documented, standardized, scalable, and aligned with Guardian’s operational standards across all departments.
This position will work closely with leadership to help modernize and optimize internal operations through the practical implementation of AI tools, workflow automations, and process improvements that increase efficiency, communication, accountability, and overall team productivity.
Key Responsibilities
- Develop, update, and manage company process documents, SOPs, and work instructions.
- Create and maintain templates, forms, and guides that are clear, consistent, and compliant.
- Deliver key documentation projects on time and provide weekly status updates.
- Maintain strong communication and work ethic — respond to emails promptly and meet all deadlines.
- Learn, maintain, and enhance the company’s CRM (LEAP), ensuring it supports accurate reporting and streamlined workflows.
- Assisting with implementation and optimization of AI-powered systems including voice agents, SMS/email automations, reporting systems, and operational workflows
- Identifying opportunities to reduce manual work through automation and process improvements
- Maintaining accurate documentation for system updates, workflows, AI processes, and operational changes
- Supporting KPI tracking, operational reporting, and data validation to ensure accuracy and visibility across departments
- Assisting with Excel-based reporting, data analysis, and process monitoring
- Collaborating with vendors and internal teams to test, improve, and maintain AI and automation systems
Qualifications
- Education: Bachelor’s degree in Business, Computer Science or related field preferred.
- Experience: 2+ years in process documentation, tech automation, or a similar role involving systems or technology.
Skills
- Exceptional attention to detail and organization.
- Ability to move quickly while maintaining accuracy.
- Strong written and verbal communication.
- Proficiency with all Microsoft Office, Google Workspace, and process-mapping tools.
- Ability to train others and collaborate effectively.
- Comfort working with technology, CRM systems (preferably LEAP), and emerging AI tools.
