Temporary Program Assistant (Full-Time) – Woodland Hills, CA

Position: Temporary Program Assistant
Location: Woodland Hills, CA
Schedule: Full-Time, Monday–Friday, In-Office Position
Hours: 9:00 AM – 5:30 PM (may vary based on program needs)
Duration: Approximately 3 months; assignment may change based on organizational needs
Status: Non-Exempt/Hourly

About the Position

We are seeking a highly organized, customer-service-oriented Temporary Program Assistant to support our outpatient behavioral health program. This position serves as the first point of contact for clients, families, community partners, and staff and plays a critical role in ensuring efficient daily operations.

The ideal candidate is detail-oriented, professional, able to maintain strict confidentiality, and comfortable managing multiple administrative responsibilities in a fast-paced healthcare environment. Experience working in healthcare, behavioral health, social services, or other human service settings is highly desirable.

Important Information:

This is a temporary full-time position expected to last approximately three months, with the possibility of change, depending on program needs and staffing requirements. This position is fully in-office and is not a remote or hybrid role.

Key Responsibilities:

Administrative and Front Desk Support

Greet clients, visitors, and staff in a professional and welcoming manner.
Answer and route incoming phone calls and respond to inquiries.
Provide general clerical, administrative, and office support to the clinical team.
Manage mail, office supplies, records, petty cash reconciliation, and other office operations.
Assist with meeting coordination, scheduling, minutes, document preparation, and electronic signatures.

Psychiatry and Doctor Day Coordination

Coordinate and optimize psychiatry schedules and appointments.
Track client check-ins and assist with same-day follow-up appointment scheduling.
Contact clients regarding scheduled appointments and appointment reminders.
Support communication and scheduling logistics for psychiatric services.
Maintain psychiatry-related records and administrative documentation.

Medical and Pharmacy Administrative Coordination

Facilitate administrative communication with pharmacies, medical providers, and community partners.
Send and receive faxes and other documentation requests.
Ensure compliance with agency policies regarding protected health information and administrative boundaries.
Maintain accurate records and documentation related to care coordination activities.

Client Documentation and Records Management

Assist with client file management and documentation processes, as needed.
Upload, organize, and maintain records within the Electronic Health Record (EHR) system.
Ensure timely and accurate data entry and recordkeeping.

Medi-Cal and Financial Eligibility Support

Assist with gathering documentation required for Patient Financial Information (PFI) forms.
Support completion of initial and renewal PFI processes.
Verify Medi-Cal eligibility through state systems prior to intake and service initiation.
Maintain accurate records related to financial eligibility and client enrollment processes.

Operational Support

Provide clerical support with electronic charts and physical files in accordance with agency procedures.
Serve as a liaison between internal programs and external partners when appropriate.
Perform other related administrative duties as assigned.

Qualifications:

High school diploma required, AA degree or equivalent preferred.
Proficiency in Microsoft Office 365 (Word, Excel, Teams), Adobe, Internet/email applications.
Experience with Electronic Health Record (EHR) systems preferred, or demonstrated high technical aptitude to quickly learn medical billing and charting software.
Experience with an electronic health record application is preferred, but not required.
Strong working knowledge of HIPAA privacy regulations and a strict commitment to maintaining patient confidentiality.
Friendly demeanor with the ability to multitask in a fast-paced environment.
Excellent communication skills with clients, staff, and visitors.
Detail-oriented with the ability to prioritize tasks effectively.
Bilingual in English and Spanish.
Valid driver's license, registration, and insurance.
Ability to pass a physical exam and TB test.
Maintain Department of Justice clearance.
