Full Job Description

Job Summary

Allstate Sandblasting is a rapidly expanding contracting firm dedicated to delivering high-quality results for our clients. As we continue to grow, we are looking for a highly organized, proactive, and energetic Office Administrator/Executive Assistant to join our team and help keep our operations running smoothly. This is a pivotal role for our office. You will be the first point of contact for our clients via phone or in person and the right hand to our leadership team. We are looking for someone who thrives in a fast-paced environment and can juggle multiple priorities without missing a beat.

Key Responsibilities

Executive Support: Manage calendars, schedule meetings and handle travel arrangements for senior leadership. Assist with various projects as they arise.
Office Operations: Assist with multiple daily office operations, including supply procurement, vendor management and maintaining a professional workspace. General administration and clerical duties as needed along with all team members to maintain an efficiently running operation.
Customer Service: Act as the primary point of contact with clients, answering inquiries via phone, in person and email with a professional, helpful and friendly demeanor.
Project Coordination: Assist with document preparation, scanning, data entry and tracking project timelines to ensure deadlines are met. Billing, accounts receivable tracking and collections management. Follow each project from initial customer inquiry to final job closure.
Communication: Serve as the bridge between field crews, management and clients to ensure seamless communication.

Required Skills & Qualifications

Exceptional Customer Service: You have a natural ability to handle client inquiries with patience, clarity and professionalism.
Multi-Tasking Mastery: You can prioritize competing demands in a busy contracting environment and stay organized under pressure.
Communication: Strong written and verbal communication skills.
Tech-Savvy: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new project management or CRM software.
Reliability: A proactive "can-do" attitude with the ability to work independently and as part of a team.
Experience: Proven experience in office administration or executive assistance roles within a professional environment. (experience in the contracting industry is a plus!)
