Full Job Description

The Executive Administrative Assistant will provide direct administrative support to and report directly to the Chief Executive Officer (CEO).

Job Functions:

1. Screens incoming correspondence, telephone calls and visitors, and prepares draft correspondence (letters, emails, etc.), or responds directly with stakeholders on various matters.

2. Assists the CEO in support of the Board of Directors and Executive Committees. Administers annual disclosures to Board of Directors.

3. Schedules appointments, meetings and travel itineraries, and coordinate related arrangements for CEO and/or Management team.

4. Establish, develop and maintain spreadsheets, management information and evaluation systems as requested by CEO.

5. Works with Finance Department to assist with optimization of work processes and timely filing of documentation to include maintenance of accounts payable files, independent contractor documentation, certificates of liability and DWC forms.

6. Organizes and maintains corporate contract files including third party payer contracts and associated rate maintenance in home care software system.

7. Tracks use of agency credit cards. Collects required documentation and reconciles with credit card statements.

8. Coordinates annual meeting and annual holiday party for staff and/or staff families. Arranges with Advancement department staff for gifts, flowers, cards and/or letters to be sent out to VNHH staff as requested by CEO.

9. Assists with production of the Agency newsletter under the guidance of Director of Advancement and CEO.

10. Travels between Agency office locations as needed.

QUALIFICATIONS:

1. Understanding of agency philosophy and expectations.

2. Advanced proficiency in word processing, spreadsheets, and slide show presentation applications. Comfortable with computer and internet.

3. Familiarity with governance tasks such as corporate filings, maintenance of corporate records, etc.

4. Speaks in a clear, articulate manner in both individual and group situations.

5. Ability to maintain organization files and write moderately complex letters of correspondence. Strong attention to detail. Able to improvise, multi-task and prioritize in a constantly changing environment while maintaining composure.

6. Works with colleagues to anticipate, prevent, and solve organizational challenges.

EDUCATION & EXPERIENCE:

1. College degree in business administration or equivalent certification.

2. Three to five years of experience working as an executive assistant, exhibiting a customer service mindset and advanced administrative skills working with confidential and/or sensitive information. Home Healthcare experience a plus.
