We are seeking a motivated Land Department Administrative Assistant to join our dynamic team. This vital role involves providing comprehensive administrative support within the land acquisition and development department. The ideal candidate will excel in office management, possess strong organizational and communication skills, and be eager to contribute to our company’s growth through efficient clerical and customer service functions.

We are seeking a highly organized and detail-oriented Land Department Administrative Assistant to support our residential land acquisition and development team in Mechanicsville, Virginia. This role is responsible for providing administrative and project coordination support throughout the land acquisition and development process—from identifying opportunities and managing due diligence documentation to assisting with contracts and tracking development milestones.

The ideal candidate thrives in a fast-paced environment, communicates professionally, and enjoys supporting projects that directly contribute to building new residential communities.

Position Summary

The Land Department Administrative Assistant will work closely with the Land Acquisition Specialist and leadership team to coordinate administrative functions, maintain acquisition records, manage reporting, and support transactions and development activities.

Key Responsibilities

Provide administrative support to the Land Acquisition and Development team.
Prepare and maintain land acquisition files, reports, correspondence, and project documentation.
Track active land opportunities and maintain acquisition pipeline reports.
Coordinate meetings, calendars, site visits, and follow-up actions.
Assist in preparing contracts, purchase agreements, and due diligence packages.
Organize zoning, entitlement, survey, engineering, and development documentation.
Maintain communication with brokers, consultants, municipalities, landowners, and internal departments.
Enter and manage data within CRM systems, spreadsheets, and project tracking tools.
Prepare presentation materials and acquisition summaries for leadership review.
Assist with invoice processing, budgeting support, and document management.
Ensure files remain organized and compliant with company standards and timelines.

Qualifications

Associate or Bachelor’s degree in Business Administration, Real Estate, Construction Management, or related field preferred.
2+ years of administrative support experience; real estate, construction, development, or land acquisition experience preferred.
Strong organizational skills and attention to detail.
Excellent written and verbal communication abilities.
Ability to prioritize multiple projects and meet deadlines.
Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).
Experience with CRM software, document management platforms, or project tracking systems is a plus.

Preferred Experience

Experience supporting residential construction, land development, or real estate teams.
Familiarity with contracts, due diligence processes, and municipal documentation.
Understanding of residential development terminology and workflows.
Knowledge of the Greater Richmond and Central Virginia market is a plus.
