Accounts Payable Specialist

In the position of Accounts Payable Specialist, you will be responsible for all aspects of Accounts Payable processing. The ideal candidate will have strong analytical skills and attention to detail, is highly motivated, a self-starter and a team player.

Key Responsibilities

Processing Invoices

· Reviewing and processing invoices received from suppliers and vendors, ensuring accuracy and compliance with company policies and procedures.

· Ensuring all invoices have appropriate documentation and approval prior to payment.

· Ensuring proper G/L coding for recording in general ledger.

Vendor Management

· Maintaining relationships with vendors, addressing any inquiries or discrepancies related to invoices or payments, and resolving issues promptly.

Payment Processing

· Initiating and coordinating payments to suppliers, either through check issuance, electronic transfers, or other payment methods.

· Manage team member expenses and customer reimbursement payments using our Travel & Expense Program.

Expense Reconciliation

· Assist in the preparation of some bank reconciliations.

Compliance and Reporting

· Prepare “positive pay” computer files required for bank anti-fraud processing.

Project Support

· Assist the Account Operations Manager with various projects as well as take responsibility for 1099 printing and reporting.

Other Duties

· Perform other various duties as required.

Required Education & Experience

· 3-5 years of accounting related work experience.

· High school diploma required

· Accounting related AS Degree or higher preferred.

Required Knowledge, Skills, and Abilities

· Ability to pass pre-employment screening.

· Possess a clear understanding of accounting terminology, i.e. Fixed Assets, Contract Costs, Prepaid and Accrued expenses.

· Maintain a clear understanding of month end and year end closing responsibilities, including journal entries and account reconciliations.

· Proficient in a wide array of computer skills, including Excel-based spreadsheet management, word processing, email correspondence, internet research, and general ledger tasks.

· Prior experience with Microsoft NAV business system and Travel Bank is a plus.

· Professional and friendly oral and written communication skills.

· Attention to detail, well-organized, ability to juggle multiple responsibilities
