Full Job Description

Job Overview

We are seeking an energetic and highly organized Front Office Coordinator to be the welcoming face of our organization. In this vital role, you will manage front desk operations, coordinate administrative tasks, and ensure smooth communication between clients, visitors, and staff. Your proactive approach and excellent organizational skills will help create a positive first impression and support the overall efficiency of our office environment. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a dynamic team.

Duties

Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive experience from the moment they arrive
Manage phone systems, screen calls, and direct inquiries to appropriate personnel with courtesy and clarity
Maintain appointment calendars, schedule meetings, and coordinate with employee schedules
Handle data entry tasks accurately using spreadsheets, Word processing software, and other productivity tools like Google Workspace and Microsoft Office
Perform clerical duties such as filing, proofreading documents, managing authorizations
Support office management and assist with basic administrative projects
Manage collections and coordinate with billing support staff

Skills

Strong proficiency in Microsoft Office Suite (Word, Excel), Google Workspace applications, and familiarity with productivity software
Excellent phone etiquette with experience providing customer support or client communication
Bilingual abilities are highly desirable to serve diverse client needs effectively
Proven office management skills including calendar management, filing systems, data entry, and organizational skills
Technical proficiency in computer literacy, data entry accuracy, proofreading, and document preparation
Previous clerical or administrative experience in a front desk or medical receptionist role is preferred
Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment
