We are seeking an experienced Business Office Manager to join our leadership team. This position is ideal for a detail-oriented professional with long-term care business office experience who thrives in a fast-paced healthcare environment and is passionate about delivering exceptional customer service.

Position Summary

The Business Office Manager is responsible for overseeing the daily financial and administrative operations of the facility. This includes resident billing, accounts receivable, collections, resident trust accounts, admissions financial coordination, payroll support, accounts payable, and regulatory compliance. The Business Office Manager serves as a key resource for residents, families, vendors, and the interdisciplinary team while ensuring accurate and timely financial operations.

Responsibilities

Manage all daily Business Office operations.
Process and monitor Medicare, Medicaid, Managed Care, Hospice, private insurance, and private pay billing.
Review accounts receivable aging reports and actively manage collections.
Maintain resident trust accounts in accordance with state and federal regulations.
Meet with residents and responsible parties to explain financial obligations, insurance coverage, and payment options.
Complete financial portions of the admission process and maintain accurate resident financial records.
Process accounts payable, invoices, and vendor payments.
Assist with payroll processing, timekeeping review, and employee personnel documentation as assigned.
Prepare financial reports and assist with month-end closing procedures.
Utilize PointClickCare to maintain accurate resident demographic, payer, and billing information.
Work collaboratively with the Administrator, Corporate Billing team, Social Services, Admissions, Nursing, and other department leaders.
Ensure compliance with CMS regulations, HIPAA, Medicare, Medicaid, and facility policies.
Provide exceptional customer service while maintaining professionalism and confidentiality.

Qualifications

Required

Minimum of two (2) years of Business Office experience in a Skilled Nursing Facility (SNF), Long-Term Care, or Post-Acute setting.
Experience with Medicare, Medicaid, Managed Care, private insurance, and private pay billing.
Experience managing accounts receivable and collections.
Proficiency with PointClickCare.
Strong computer skills, including Microsoft Office (Excel, Word, Outlook).
Excellent organizational, communication, and customer service skills.
Ability to prioritize multiple responsibilities and meet deadlines.
High school diploma or equivalent.

Preferred

Associate's or Bachelor's degree in Business, Accounting, Healthcare Administration, or related field.
Experience with resident trust accounting.
Payroll and accounts payable experience.
Previous supervisory or leadership experience in a healthcare business office.
