Full Job Description

Century Control Systems, Inc. is seeking a highly organized and detail-oriented Administrative Support Specialist to provide comprehensive administrative and clerical support across multiple departments. The ideal candidate will possess excellent communication and organizational skills, maintain a high level of professionalism, and contribute to the efficient operation of the office by managing administrative tasks, coordinating information, and supporting internal teams.
Key Responsibilities

Provide day-to-day administrative support to managers and departmental staff.
Answer and direct incoming phone calls, emails, and other correspondence professionally and promptly.
Prepare, proofread, and distribute reports, presentations, spreadsheets, and other business documents.
Schedule meetings, coordinate calendars, and arrange travel and conference logistics when required.
Maintain and organize electronic and physical filing systems.
Enter, update, and maintain accurate records and databases.
Process incoming and outgoing mail, shipments, and office correspondence.
Order and maintain office supplies and coordinate with vendors as needed.
Assist with preparing invoices, purchase orders, expense reports, and other administrative documentation.
Support project teams by tracking deadlines, maintaining project files, and coordinating administrative activities.
Maintain confidentiality of company information and sensitive business records.
Perform other administrative duties and special projects as assigned.

Qualifications

High school diploma or equivalent required; associate's degree in Business Administration or a related field preferred.
Previous experience in an administrative support, office assistant, or clerical role preferred.
Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
Excellent written and verbal communication skills.
Strong organizational skills with exceptional attention to detail.
Ability to manage multiple priorities while meeting deadlines.
Strong problem-solving and time management skills.
Ability to work independently and collaboratively in a team environment.
Professional demeanor with excellent customer service and interpersonal skills.

Preferred Qualifications

Experience working in a manufacturing, engineering, or industrial environment.
Familiarity with ERP systems, document management software, or CRM platforms.
Experience coordinating projects and maintaining business records.
Knowledge of office procedures and administrative best practices.
