Job Overview

PART TIME ONLY (90 percent remote from home). Looking for a responsible assistant who can work 10-15 Hours a week helping our company with books & clerical work. We are seeking a detail-oriented and proactive Clerical Assistant / Book Keeper to join our dynamic team. In this vital role, you will be responsible for maintaining accurate financial records, managing accounting processes, and supporting administrative functions to ensure smooth operations. Your expertise in various accounting software and systems will help us uphold financial integrity and compliance with industry standards. This position offers an exciting opportunity to contribute to a mission-driven organization, supporting both operational efficiency and financial transparency.

Responsibilities

Manage day-to-day bookkeeping tasks including data entry, journal entries, and account reconciliations using accounting software such as QuickBooks Online, Xero, Sage, and other financial systems.
Perform bank reconciliations to ensure accuracy of financial data and identify discrepancies promptly.
Process payroll accurately and efficiently while ensuring compliance with relevant regulations.
Handle accounts payable and accounts receivable functions, including invoice processing, payment scheduling, and collections.
Maintain the general ledger by recording transactions in accordance with GAAP (Generally Accepted Accounting Principles) and accounting standards.
Prepare financial reports, statements, and summaries to support budgeting, forecasting, and decision-making processes.
Conduct account analysis and balance sheet reconciliation to verify the integrity of financial data regularly.
Assist with budget preparation, monitoring expenses against budgets, and providing insights for cost control initiatives.
Ensure compliance with applicable accounting standards and internal controls through meticulous recordkeeping.
Support audit preparations by organizing relevant documentation and providing clear audit trails.

Experience

Proven bookkeeping experience with a strong understanding of double-entry bookkeeping principles.
Hands-on experience using popular accounting software such as QuickBooks (including QuickBooks Online), Xero, Sage, or similar platforms.
Familiarity with corporate accounting practices as well as non-profit accounting is highly desirable.
Knowledge of payroll processing procedures and related tax regulations.
Strong proficiency in spreadsheets (Excel or Google Sheets) for data analysis and report writing.
Ability to perform account reconciliation tasks accurately and efficiently.
Experience working within public accounting or financial services is a plus.
Demonstrated understanding of financial concepts including debits & credits, journal entries, general ledger management, and bank reconciliation techniques.
