POSITION SUMMARY

The Midland Board of REALTORS® (MBOR) is seeking a detail-oriented, dependable, and customer-focused Administrative Assistant / MLS Coordinator to join our team on a part-time basis. This position plays a vital role in supporting the day-to-day operations of the Association while providing exceptional service to our REALTOR® and Affiliate members.

The ideal candidate is organized, detail-oriented, and trustworthy. They are confident working independently, and appreciate being part of a small team where collaboration and flexibility are valued. This individual will provide administrative support, assist with the operation of the Multiple Listing Service (MLS), coordinate member communications, maintain accurate records, and serve as the first point of contact for members and visitors.

Successful candidates will possess excellent communication and organizational skills, strong computer proficiency, and the ability to quickly learn multiple real estate technology platforms. A positive attitude, professional appearance, initiative, and commitment to outstanding customer service are essential.

ESSENTIAL RESPONSIBILITIES

Member Services & Reception

Welcome members and visitors in a friendly and professional manner.
Answer incoming phone calls and respond to emails promptly and professionally.
Process membership payments and answer general questions regarding Association services.
Provide exceptional customer service while representing MBOR in a professional manner.

Administrative Support

Provide daily administrative support to the Association Executive.
Manage incoming and outgoing mail, packages, and deliveries.
Maintain organized filing systems, databases, inventories, and office records.
Assist with preparation of meetings, events, educational classes, and member communications.
Maintain office, kitchen, and building supplies and coordinate ordering as needed.
Assist with special projects and additional duties as assigned.

MLS Administration

Assist members with MLS system questions, technical support, and account setup.
Enter listings and maintain MLS records as needed.
Review MLS compliance reports and follow up on rule violations.
Issue violation notices and fines in accordance with MLS Rules and Policies.
Develop a thorough understanding of MLS Rules, MBOR Bylaws, lockbox procedures, and Association policies.
Provide support for MLS products, services, and technology platforms.

Member Communications

Monitor the general MBOR email inbox and respond to or forward messages appropriately.
Assist with new member onboarding and orientation.
Prepare and distribute member communications including newsletters, announcements, education opportunities, events, and policy updates.

Accounting Support

Utilize QuickBooks to record payments, manage accounts receivable, and maintain accurate member billing records.
Assist with deposits and other financial administrative functions.

QUALIFICATIONS

Education & Experience

High school diploma or equivalent required.
Previous administrative assistant, office management, or customer service experience preferred.
Experience in real estate, MLS, or association management is a plus but not required.

Skills & Abilities

Outstanding customer service and interpersonal skills.
Strong written and verbal communication skills.
Strong organizational, time management, and multitasking skills.
Ability to prioritize work and meet deadlines with minimal supervision.

Ability to work collaboratively while also working independently.

Computer Skills

Proficiency with:

Microsoft Office (Word, Excel, Outlook, PowerPoint)
QuickBooks
Email and cloud-based software
Ability to quickly learn MLS systems, association management software, and other real estate technology platforms.
