Full Job Description

Position Summary

Madrazo Villarreal A.P.C. is seeking an experienced, highly organized Estate Planning Paralegal / Specialist to support our growing estate planning practice. The ideal candidate will have direct experience preparing California estate planning documents, managing client matters from intake through execution, and communicating clearly with English- and Spanish-speaking clients.

This is not an entry-level position. The successful candidate must be detail-oriented, dependable, comfortable managing deadlines, and able to produce accurate work with appropriate attorney supervision.

Key Responsibilities

Assist with client intake and gather financial, family, and asset information.
Prepare initial drafts of revocable living trusts, wills, powers of attorney, advance health care directives, certifications of trust, assignments of personal property, and related documents.
Prepare trust funding instructions, asset schedules, and supporting correspondence.
Prepare and coordinate deeds and preliminary change-of-ownership documentation.
Review documents for accuracy, consistency, completeness, and proper formatting.
Coordinate client meetings, document reviews, signing appointments, notarizations, and witnesses.
Communicate with clients regarding questionnaires, missing information, appointments, and administrative next steps.
Maintain organized electronic and physical files.
Track deadlines, outstanding documents, trust-funding tasks, and matter status.
Enter time, notes, tasks, and client communications accurately in the firm’s case-management system.
Provide administrative support for probate and trust-administration matters when needed.
Maintain strict confidentiality and professional standards.

Required Qualifications

At least two years of experience supporting a California estate planning practice.
Familiarity with California revocable trusts, wills, powers of attorney, advance health care directives, deeds, and trust-funding procedures.
Strong written and verbal communication skills.
Excellent attention to detail and document-management skills.
Ability to prioritize assignments and work independently within established procedures.
Proficiency with Microsoft Word, Adobe Acrobat, email, and cloud-based case-management systems.
Professional and compassionate client-service skills.
Ability to work in person at our Chula Vista office.
Authorization to work in the United States.

Preferred Qualifications

Fluency in English and Spanish.
Experience with Clio Manage or comparable legal practice-management software.
Experience with probate or trust administration.
Experience serving bilingual or cross-border families.
California notary commission.
Paralegal qualification compliant with California Business and Professions Code section 6450.
