Full Job Description

Position Overview

In Touch Financial Services is seeking an experienced, Licensed Client Services Administrator who brings initiative, sound judgment, and genuine care to their work. We are seeking a Licensed Client Services Administrator to deliver exceptional client service, provide technical and administrative support to the Lead Advisor, and ensure efficient operation of the practice. This role requires strong attention to detail, excellent communication skills, and the ability to manage client needs with professionalism and care. This role is ideal for someone who doesn’t wait to be told what to do — they anticipate needs, think critically, and take ownership of both the client experience and the daily operations of the firm. You will serve as a trusted point of contact for clients and a key partner to the Lead Advisor, ensuring that nothing falls through the cracks and that clients feel supported, informed, and valued at every stage of the relationship. This is not a task-only administrative role. The right person will be proactive, thoughtful, and dependable — someone who takes pride in follow-through and understands the importance of both accuracy and compassion in financial services.

Key Responsibilities:

Client Experience & Relationship Support

Serve as a primary point of contact for client service requests, inquiries, and follow-ups
Anticipate client needs by proactively monitoring accounts, pending items, and upcoming milestones
Communicate with warmth, professionalism, and clarity — clients should feel genuinely cared for
Prepare materials and documentation for client meetings and ensure timely post-meeting follow-through
Maintain the firm’s client calendar, including scheduling, confirming, and coordinating appointments for both current and prospective clients
Ensure all meetings are properly prepared for, documented, and followed up on

Account Administration & Operations

Coordinate new account openings, transfers, account maintenance, and custodial paperwork
Process service items including cashiering requests, contributions, withdrawals, RMDs, and account updates
Track outstanding service items and ensure completion — nothing should remain unresolved
Maintain accurate, detailed CRM records and client documentation

Advisor & Practice Support

Anticipate the advisor’s needs by staying aware of priorities, deadlines, and workflows Provide trading and investment support under advisor direction, within licensing guidelines
Identify gaps or inefficiencies in processes and suggest thoughtful improvements
Support special projects and evolving firm needs as the practice grows

Required Qualifications

Active Series 7 and Series 66 (or Series 63/65 combination)
Minimum 2+ years of experience in a wealth management or financial services environment
Demonstrated experience working withinApple iOS and macOS systems, including calendar management and related applications
Strong proficiency in Microsoft Office; CRM and custodial platform experience strongly preferred
Experience handling custodial paperwork, account servicing, and operational workflows
