Full Job Description

Overview

Wellspring Educational Services Inc. is a small, non-profit, private, 'non-public school' in Walnut Creek, CA, serving 45 special students with unique profiles and special needs and 70+ dedicated adults supporting the educational program. We provide a full-day school educational program for students with special needs ages 5 to 22. We also offer related special services such as Speech and Language, Occupational Therapy, and Positive Behavioral Support. The relationship between educators and students is the key to student success. We have one adult to every-two-student ratio and individualize each student's program.

Additionally, we provide after-school and school break therapeutic and recreational groups along with a summer camp. We seek a dedicated, positive person who can join our administrative office team as an Administrative Assistant. As a skilled team player, we seek your expertise in office administrative support to make a difference in the lives of these children and families and provide support to our educators.

The Administrative Assistant will report directly to the Assistant Directors and will perform a variety of communication, record-keeping, and facilities management duties in support of school, business, and HR operations.

General Scope of Responsibilities

The Administrative Assistant is responsible for general administrative support for student operations, such as school communications and maintaining student records (e.g. attendance, enrollment files); general office operations such as staff communications, facility and office equipment monitoring, and supply purchases; and human resources in staff attendance, onboarding, and recordkeeping.

General Office Operations

Respond to email and telephone communication, provide assistance and forward communications to appropriate administrative staff.
Prepare email and text correspondence to families and staff regarding schoolwide events and reminders.
Maintain office calendars via Google Calendar.
Maintain inventories of office and classroom supplies to ensure supply availability.
Greet and assist visitors (parents, school district personnel, etc.) upon arrival and navigate them to appropriate administrative staff.
Retrieve and distribute incoming mail / packages.
Unlock / lock classrooms and exterior doors for daily opening and closing of school.
Monitor facility for any safety/repair needs and assist with maintaining facility cleanliness and safety.
Use standard office equipment such as computer, printer, copy machine, telephone.
Perform other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the school

Student Operations

Assist in student enrollment and maintain up-to-date student records.
Receive and collate information regarding student attendance.
Prepare flyers, signs, and other materials for school events.
Assist in planning and coordinating school events and activities.
Prepare monthly parent newsletter using Mailchimp.
Assist in picking up and organizing meals for classroom delivery and maintaining required meal count documentation.

HR / Business Operations

Assist in recruiting, new hire onboarding, and general support for maintaining staff non-confidential records including training records.
Support staff with digital time clock entries and attendance recording.
Review hourly timecard records and follow up with staff and their supervisors for corrections.
Fulfill purchase requests from staff for classroom/program supplies, with approval from the administrative team.
Record transactions, process invoices and vendor payments in Quickbooks Online.
Research/draft blurbs for social media posts on Facebook, LinkedIn, etc.
Liaise with outside vendors and facility crew.

Maintain organized digital and physical filing systems.
Understand and carry-out and written or verbal instructions.
Establish and maintain cooperative and effective working relationships with others.

Education / Experience:

Two-year certificate from college or technical school; or two years related experience and/or training; or equivalent combination of education and experience.
Bachelor’s degree preferred.

Computer Skills:

Proficiency in Google Workspace/Suite: Google Mail, Docs, Sheets, Forms, Calendar and Google Drive organization
Proficiency in Microsoft Word, Excel and PowerPoint
General knowledge of printing troubleshooting, changing printer cartridges, and ink level monitoring
Ability to learn new web and computer applications quickly
Ability to develop and maintain email distribution lists in Google Contacts, Mailchimp, etc.
Type and enter data at an acceptable rate of speed.
Take and transcribe dictation accurately.

The employee must occasionally lift and/or move up 20+ pounds. Specific vision abilities required by this job include close vision, depth perception, and the ability to adjust focus.

Work Environment:This employee will experience frequent interruptions. The noise level in the work environment is generally moderate to high.

Other Requirements

Applicants selected for employment will be required to submit DOJ/FBI fingerprint clearance, TB assessment record, and a Valid California Driver’s License.
