About Us

We are a boutique plastic surgery practice dedicated to providing an exceptional patient experience from the first phone call through the final post-operative visit. Our practice combines world-class surgical care with personalized service in a welcoming, luxury environment.

We are seeking an experienced, polished, and highly organized Office Manager who thrives in a fast-paced, patient-focused setting. This role is ideal for someone who enjoys wearing multiple hats, leading daily operations, and contributing to practice growth through exceptional customer service and sales.

Position Overview

The Office Manager serves as the face of our practice while overseeing the day-to-day administrative operations of the office. This individual is responsible for patient scheduling, front desk operations, financial collections, sales support, phone management, and ensuring an outstanding patient experience.

The ideal candidate is confident, professional, detail-oriented, financially responsible, and passionate about helping patients feel welcomed and cared for.

ResponsibilitiesPatient Experience

Welcome patients and create a warm, luxury experience
Manage front desk operations and patient flow
Schedule consultations, surgeries, and follow-up appointments
Answer incoming calls and respond promptly to patient inquiries
Maintain patient confidentiality and professionalism at all times

Sales & Practice Growth

Educate prospective patients on procedures and treatment options
Present treatment plans and surgical quotes
Follow up with consultation leads
Build rapport that converts consultations into booked procedures
Help achieve monthly production and scheduling goals

Financial Responsibilities

Collect consultation fees, procedure deposits, and patient balances
Process payments and financing documentation
Maintain accurate financial records and daily reconciliation
Coordinate payment plans when appropriate
Assist with accounts receivable and collections

Office Management

Oversee daily office operations
Maintain office organization and workflow efficiency
Manage supplies and vendor relationships
Coordinate with clinical staff to optimize schedules
Assist with reporting, financial tracking, and operational metrics
Ensure policies and procedures are consistently followed

Qualifications

Minimum 3 years of experience in medical office management, aesthetics, cosmetic surgery, or a luxury service environment
Strong sales and customer service background
Experience handling patient financing and payment collections
Excellent phone etiquette and communication skills
Highly organized with exceptional attention to detail
Comfortable working with practice management software and Microsoft Office/Google Workspace
Ability to multitask while maintaining a positive, professional demeanor
Self-motivated, dependable, and solution-oriented

Preferred Experience

Experience in one or more of the following is strongly preferred:

Plastic Surgery
Cosmetic Dermatology
Medical Spa
Concierge Medicine
Luxury Hospitality
High-end retail or client service
