Position Title: Accounting Assistant
Employment Type: Full-Time, Non-Exempt

Position Summary

We are seeking a detail-oriented and organized Accounting Assistant to support our bookkeeping and accounting functions. The ideal candidate will have 1–2 years of experience in accounts payable, accounts receivable, and general accounting support. This position will work closely with our bookkeeping and accounting team to ensure accurate financial records and timely processing of transactions.

Essential Duties and ResponsibilitiesAccounts Payable

Process vendor invoices accurately and timely.
Verify invoice details and obtain appropriate approvals.
Prepare and process payments to vendors.
Reconcile vendor statements and resolve discrepancies.

Accounts Receivable

Generate and distribute customer invoices.
Monitor outstanding accounts and assist with collections.
Apply customer payments and maintain accurate records.
Reconcile customer accounts and resolve billing issues.

General Accounting Support

Assist with account reconciliations and month-end closing activities.
Maintain organized financial records and documentation.
Enter financial data into accounting systems accurately.
Support bookkeeping functions and special accounting projects as assigned.
Communicate with vendors, customers, and internal departments regarding financial matters.

Administrative Support

Assist with filing, scanning, and record retention.
Prepare reports and spreadsheets as requested.
Perform other accounting and administrative duties as assigned.

Qualifications

1–2 years of experience in Accounts Payable, Accounts Receivable, bookkeeping, or accounting support.
Working knowledge of QuickBooks, Microsoft Office Suite (Excel, Word, Outlook), and Google Workspace (Docs, Sheets, Gmail).
Strong attention to detail and organizational skills.
Ability to manage multiple tasks and meet deadlines.
Strong verbal and written communication skills.
Basic understanding of accounting principles and financial processes.
Ability to maintain confidentiality and handle sensitive financial information.

Education

High school diploma or equivalent required.
Associate degree or coursework in Accounting, Finance, or a related field preferred.

Physical Requirements

Ability to sit, stand, and work at a computer for extended periods.
Ability to occasionally lift up to 20 pounds.
