Your TrueCar Experience

At TrueCar, we offer our Crew members the flexibility to split their work time between home and the office. While many days are remote, we expect our Crew to show up for the moments that matter—gathering in person when a project needs that extra collaborative spark because nothing replaces the energy of solving big problems in the same room. Our ideal candidate will be proactive, adaptable, and able to manage multiple tasks efficiently with a positive attitude. You will be the trusted point person managing our President and COO’s schedule and key interactions with customers, Board members, and investors. As the mastermind and executor of TrueCar events, you are proactive, detail-oriented, and take full accountability for results while juggling multiple initiatives. You’re a sharp, reliable relationship-builder who people truly love working with.

This hybrid (in-office 2 to 3 days a week) Santa Monica, CA-based role reports to our President and COO, and may support multiple executive team members.

How you’ll drive TrueCar’s success:

Executive Support:

Assist the executive team with scheduling meetings, appointments, and travel arrangements.
Prioritize and manage multiple calendars to ensure time efficiency.
Coordinate internal and external meetings, ensuring all logistical details are handled.
Serve as a trusted steward of sensitive information by ensuring all confidential files and data remain highly organized and secure.
Be a point person for administrative projects- assisting with some, delegating tasks with others. You are a person who "knows everything" and is always able to help.
Proactively assess executive needs and assist to avoid bottlenecks.

Events Management:

Collaborate with executive leaders on the planning, organizing, and execution of functional events and off-site meetings.
Bring creativity and fun to all TrueCar events- internal and external- to delight customers, investors, and employees.
Manage vendor relationships, including negotiation of terms, invoicing, and performance tracking.
Work with cross-functional teams to ensure branding, invitations, and agendas are well coordinated and aligned to the event's goals.

Your Expertise:

Proven experience as an Executive Assistant or Administrative Assistant, Project/Events Manager, or similar role in a fast-paced, tech-focused, high-growth environment.
Comfortable with supporting multiple executives with various asks across a leadership team.
Strong organizational skills with the ability to multitask and prioritize effectively.
Drives operational projects from concept to completion through strategic planning, meticulous organization, and rigorous document tracking.
Mastery of complex scheduling and calendar management - leveraging technology to optimize and streamline scheduling.
Approachable demeanor with excellent written and verbal communication skills.
Highly proficient with productivity tools (Google Suite and Slack preferred) and using AI for research, communications, and ideation.
Strong vendor management and negotiation skills.
Ability to work independently as well as collaboratively in a team environment.
