Full Job Description

We are seeking a highly organized and customer-focused Office Manager to support our disaster mitigation and restoration operations. We are specifically looking for someone that has significant experience in AR, Quickbooks, and Collections.

This role serves as the communication hub between homeowners, insurance adjusters, technicians, and office staff. The CSR will help ensure restoration projects move smoothly by coordinating communication, managing documentation, assisting with billing and collections, and providing excellent customer service during what is often a stressful time for our clients.

The ideal candidate is organized, compassionate, detail-oriented, and comfortable working with homeowners, insurance companies, and internal teams.

Customer Communication

Serve as the primary point of contact for homeowners, insurance agents, and ajusters throughout the mitigation and restoration process
Answer incoming calls and emails from customers regarding job status, scheduling, and billing questions
Provide clear updates and guidance to customers about the restoration process
Ensure customers feel informed, supported, and confident during the project

Insurance Coordination

Communicate with insurance adjusters regarding project scope, documentation, and approvals
Assist with submitting documentation such as job photos, moisture logs, and reports to insurance carriers
Track claim numbers, adjuster contact information, and claim status
Coordinate communication between technicians and insurance representatives

Billing & Collections

Prepare and send invoices to insurance companies and homeowners
Collect customer deductibles and payments when required
Follow up on outstanding invoices and unpaid balances
Maintain accurate accounts receivable records
Work with management to resolve billing questions or payment issues

Job File Management

Maintain complete and organized job files including:
Work authorizations
Photos and documentation
Moisture readings
Equipment logs
Completion forms
Ensure job documentation is complete before billing and insurance submission
Upload and organize files in the company’s job management system

Scheduling & Job Coordination

Assist with scheduling inspections, mitigation crews, and follow-up visits
Coordinate job updates with technicians and the Mitigation Manager
Track job progress and update job status in the company CRM or job system

Reviews & Referral Follow-Ups

Request customer reviews after successful job completion
Follow up with satisfied customers to ensure they had a positive experience
Maintain relationships with property managers, adjusters, and referral partners
Assist with tracking referral sources and helping strengthen referral relationships
Support the company’s reputation by ensuring excellent customer experiences

Administrative Support

Assist with general office tasks and customer inquiries
Track new job leads and incoming service requests
Help maintain organized customer and job records
Assist management with reports related to collections, jobs, and customer communication

Qualifications

Experience with QuickBooks or accounting software
Previous customer service or administrative experience
Excellent communication and interpersonal skills
Strong organization and attention to detail
Ability to work with homeowners during stressful situations
Ability to manage multiple projects and priorities simultaneously

Preferred Experience

Experience in the restoration, construction, or insurance industry
Familiarity with restoration software (Dash, MIKA, Xactimate, Symbility)
CRM or job management software experience

Our team works quickly to restore homes and properties after disasters while delivering exceptional service to homeowners, insurance partners, and property managers.

Pay: $20.00 - $25.00 per hour

Expected hours: 40.0 per week
