DEPARTMENT OF PUBLIC WORKS MISSION STATEMENT: Provide the community with quality services, maintain and improve our public infrastructures and facilities, and support the preservation of Marin’s unsurpassed beauty.

ABOUT THE POSITION

The Department of Public Works is seeking a dependable and service-oriented Office Assistant III to join the Administrative Services Team within the Business Services Branch. Public Works provides essential services that support Marin County’s infrastructure, including facilities, roads, engineering, environmental programs, and other community-serving services. This position supports that work by serving as the primary front desk and reception contact for Public Works at the historic Marin County Civic Center.

This position plays an important role in welcoming members of the public, County staff, vendors, and partner agencies; answering and routing phone calls; responding to general inquiries; and helping connect people with the appropriate division, program, or staff member. The Office Assistant III will also provide general clerical and administrative support as assigned, including assistance with daily office operations.

ABOUT YOU

They will have strong interpersonal skills, communicate clearly and professionally, and be able to assist a wide range of stakeholders, including members of the public, County staff, vendors, and partner agencies. They will demonstrate sound judgment, discretion, and the ability to follow established procedures and policies while routing inquiries appropriately.

This role requires a service-oriented approach, patience, dependability, attention to detail, and professionalism. The ideal candidate will also be flexible and willing to support assigned clerical and administrative tasks that help the Administrative Services Team operate smoothly.

KNOWLEDGE OF

Standard office practices and procedures including filing and retrieval systems, correspondence formats and the operation of standard office equipment.
Standard office applications including word processing, spreadsheet and database systems.
Correct English usage including grammar, spelling and punctuation.
Business arithmetic.

ABILITY TO

Office Assistant I

Learn general office practices and procedures.
Perform routine clerical work.
Learn policies and procedures related to the department to which assigned.
Understand and follow written and oral instructions.
Perform simple mathematic calculations.
Communicate effectively both verbally and in written form sufficient to convey information and instructions to the public and other employees in situations requiring tact, courtesy and poise.
Establish and maintain effective working relationships with those contacted in the course of the work.
Type at an acceptable rate of speed based on the requirements of the position.

Office Assistant II (in addition to above):

Perform general clerical and technical work quickly and accurately.
Use database, spreadsheet, word processing, publishing and/or internet applications depending on assignment.
Read, interpret and apply rules, policies and procedures in specific situations.
Prepare and maintain accurate and concise records and reports.
Read and comprehend manuals and instructions related to assignment such as: maps; drawings; policies and procedures; training materials; code books; instructions for equipment; and safety rules and procedures.
Perform basic mathematic calculations.

Office Assistant III (in addition to above):

Perform difficult and/or complex clerical duties including document processing and auditing.
Use independent judgment and prioritize multiple tasks.
Learn complex enterprise resource planning software and/or assignment-specific database systems.
Some assignments may require ability to perform more advanced mathematical calculations such as computing percentages and calculating simple measurements.
Provide lead direction and training to staff depending on assignment.

MINIMUM QUALIFICATIONS AND CERTIFICATIONS & LICENSES

Office Assistant III: Two years of experience performing clerical/office support duties that demonstrates proficiency with standard office applications and practices. Completion of a clerical training program or office administration coursework may be substituted for up to six months of the required experience. Some assignments require one year of experience in the area of assignment.

Clerical/office support experience includes preparing, interpreting and maintaining a variety of records and/or documents; use of standard office applications and equipment; and greeting and assisting members of the public.

LiveScan: candidates selected are subject to fingerprinting by the Sheriff's Department and must pass a Department of Justice LiveScan background check prior to appointment.

A pre-placement physical examination given at County expense is also required prior to appointment.

Disaster Service Workers: All County of Marin employees are designated Disaster Service Workers through state and local law (California Government Code Section 3100-3109). Employment with the County requires the affirmation of a loyalty oath to this effect. Employees are required to complete all Disaster Service Worker-related training as assigned, and to return to work as ordered in the event of an emergency
