Office Manager – Dental Practice

About the Role

We are seeking a driven, results-oriented Office Manager to lead the daily operations, financial performance, and team development of a busy dental practice. This is an ideal opportunity for an experienced dental leader who thrives in a fast-paced environment, enjoys coaching teams to success, and is passionate about creating exceptional patient experiences.

As the Office Manager, you will serve as the operational leader of the practice, partnering closely with doctors and support teams to drive production, profitability, patient satisfaction, and team engagement. This role requires strong leadership, accountability, and the ability to make data-driven decisions that support practice growth. Our Office Managers lead by example and are expected to be active, hands-on members of the team. While responsible for overseeing operations and driving performance, managers are also expected to assist with front desk responsibilities when needed, including treatment planning, scheduling, patient communication, check-in/check-out, and other administrative duties to ensure a seamless patient experience and support the success of the entire team.

What You'll Do

Leadership & Team Development

Recruit, onboard, train, and retain high-performing team members.
Foster a positive, team-centered culture focused on accountability and growth.
Conduct regular coaching conversations, performance reviews, and team meetings.
Address employee performance concerns promptly and professionally.
Communicate training progress and team development updates to leadership.

Financial & Operational Management

Oversee office collections, accounts receivable, insurance processing, and financial performance.
Monitor key performance indicators including production, collections, profitability, and patient retention.
Ensure schedules remain productive and optimized for maximum efficiency.
Partner with providers to support practice growth and achievement of monthly goals.
Analyze reports and implement action plans to improve office performance.

Patient Experience & Treatment Acceptance

Lead and coach the team to improve treatment plan presentation and case acceptance.
Ensure timely follow-up on unscheduled treatment and patient recalls.
Create a patient-first environment that builds trust and long-term relationships.
Resolve patient concerns professionally and effectively.

Compliance & Risk Management

Maintain compliance with HIPAA, OSHA, and applicable state dental regulations.
Ensure all team members complete required training and compliance tasks.
Conduct routine audits and office safety reviews.

Inventory & Technology Management

Oversee inventory systems and supply ordering.
Ensure proper utilization of practice management software and office technology.
Train team members on new systems and process improvements.

What We're Looking For Required Qualifications

Minimum 2 years of dental office management or dental leadership experience.
Strong understanding of dental practice operations, scheduling, insurance, collections, and treatment planning.
Proven experience leading and developing teams.
Excellent communication, problem-solving, and organizational skills.
Ability to analyze reports and make data-driven decisions.
Proficiency with dental practice management software.

Preferred Qualifications

Experience working across multiple dental specialties (General Dentistry, Orthodontics, Pediatric Dentistry, Oral Surgery, Periodontics, Endodontics, etc.).
Experience with KPI tracking and practice growth initiatives.
Open Dental experience preferred.
