Full Job Description

Outstanding opportunity for a Facility Manager/Maintenance Assistant to oversee a 172 unit residential and commercial Condominium Association and physical plant. Under the direction of the Facility Manager and Board of Directors, the Facility Manager/Maintenance Assistant is responsible for all aspects of the building and the business of the association, including but not limited to maintenance, administration, communication, logistics, resident services, and employee supervision. The Facility Manager/Maintenance Assistant works with the Management Team to include but not limited to:

· Ensure the safety and security of the owners, residents and commercial tenants and to keep them informed of ongoing operations.

· Maintain the safety and integrity of the property, by properly maintaining, conducting routine visual inspections of the exterior and interior common areas of the building, grounds, facilities and equipment to determine whether repairs or maintenance are needed.

· Inform the Management Team about any required maintenance or improvements and assist the Board in carrying out their responsibilities specified in the Condominium Declarations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Communication:

· Under the direction of the Management Team, regularly communicates with owners, residents, commercial tenants, vendors, government agencies, among others, regarding maintenance and other building-related activities.

· Communicate immediately any unusual circumstances regarding the integrity, safety or security to the Facility Manager and Board.

· Attend Board meetings if requested.

· Prepares reports for the Board.

· Assists in preparation and updating the Manual of Procedures.

Building:

· Plan for and ensure that daily, weekly, monthly and annual maintenance tasks are performed. Identify problems that require professional services or repairs for review and approval of Board.

· Obtain vendor quotes and make recommendations to the Board. Schedule and manage vendor contracts as approved by the Board.

· Inspect common areas for cleanliness, assist in maintaining upkeep, and the scheduling and supervising of janitorial services.

· Manage and maintain key fob and building security systems.

· Perform maintenance, and janitorial including building exterior when needed.

Administrative / Logistical:

· Coordinate staff work and prepare and post work schedules. Track hours worked and prepare time sheets for all staff and submit to Management Company as scheduled.

· Maintain records regarding vendors, maintenance, board-related activities, property management-related activities, among others.

· Manage invoices, service proposals, assessment payments. Ensure timely forwarding to property management company.

· Maintain website, and management software including regular updates, and documents, etc.

· Manage move-in and move-out processes. Welcome and inform new owners and residents of the applicable Rules & Regulations.

· Manage package delivery.

Other Requirements:

· Manage or assist with any emergency maintenance situations as they arise as well as assist with any after-hour emergency situations such as fire or earthquake damage.

· Perform all other relevant duties as directed by Facility Manager and/or the Board of Directors.

REQUIRED SKILLS & EXPERIENCE:

· Minimum of 5 years condominium Facilities Management and Maintenance experience, including staff, vendor , contractor management, Janitorial and general repair.

· Service oriented, maintain a professional appearance and attitude at all times.

· Exhibit sound judgment and discretion, working with little or no supervision.

· High level of organization and time management skills.

· Can consistently work under pressure and prioritize multiple projects.

· Possesses working knowledge of Microsoft Office (Outlook, Word and Excel) and management programs.

· Possesses basic knowledge of general repair and maintenance.

· Willing and able to manage after hour emergencies.

WORKING CONDITIONS

The Facility Manager/Maintenance Assistant is a full time hourly position located in the Seattle, Washington and is subject to Washington State and Seattle labor law and Employee Work handbook. Compensation depends on experience, includes additional benefits. Candidate must be willing to work weekends and on-call after hours.

Pay: $28.85 - $31.25 per hour
